Job summary

HCAT are seeking an Estates and Compliance Coordinator to support safe, compliant operation of school estates. You will provide high-quality admin support to the Estates Team, maintaining compliance records, maintenance schedules, asset information and statutory documentation.

You will coordinate with schools, contractors and colleagues to deliver estates services, supporting safeguarding and creating safe learning environments.

Qualifications

• GCSE Grade C/4 or above (or equivalent) in English and Mathematics.
• Experience in an administrative role, ideally within estates, facilities, property or a related environment.
• Experience using computerised systems and databases to maintain accurate records.
• Strong organisational skills and the ability to manage competing priorities.
• Excellent attention to detail and accuracy.
• Good IT skills, including Microsoft Word, Excel and Outlook.
• Strong communication and customer service skills.
• The ability to work independently and collaboratively as part of a team.
• A commitment to safeguarding and promoting the welfare of children and young people.

Responsibilities

• Coordinate planned maintenance activities and inspections under the direction of the Estates Operations Manager.
• Maintain central records of statutory inspections, servicing schedules and compliance checks.
• Maintain and update the Trust Asset Register in accordance with established procedures and under the direction of senior estates staff.
• Obtain, collate and organise quotations for repairs, maintenance works and procurement activities for review by the Estates Operations Manager.
• Coordinate repair and maintenance visits, acting as a point of contact between contractors and site teams.
• Maintain and update the Estates section of the Trust SharePoint site to support communication, document management and information sharing.
• Provide administrative support for estates improvement and capital projects led by senior estates staff.
• Contribute to the continuous development of estates systems, procedures and record-keeping processes.
• Assist with financial administration relating to estates activities, including purchase order requisitions, delivery notes and quotations.
