Job summary

Atomos Investments Limited is seeking a highly organised Client Administrator to support our Financial Planners by managing the administrative foundations of high-quality financial advice. You will help planners focus on client relationships while ensuring on-time, accurate processing of client reviews and servicing tasks.

In this busy London office, you will work closely with planners, manage schedules, and maintain compliant client records.

Qualifications

• 2+ years in a Financial Planning administrator role.
• Knowledge of pensions, investments and protection.
• Highly organised with proactive mindset and ability to anticipate adviser and client needs.
• Strong attention to detail and accuracy.
• Confident written and verbal communication, handling client queries professionally.
• Comfortable with cloud-based systems and using AI tools to improve efficiency.

Responsibilities

• Ensure all client reviews are supported by suitability reports, delivered on time, and proactively chase/escalate any outstanding cases.
• Maintain the CRM (Xplan), ensuring all client data is accurate, up to date, and compliant.
• Keep client files organised, regularly updated, and audit-ready.
• Support Financial Planners with scheduling annual reviews, preparing meeting packs, and managing client segmentation and service levels.
• Build strong relationships with Financial Planners and clients, ensuring all post-meeting actions are completed within agreed SLAs.
