Job summary

Monks is seeking an experienced embedded Senior Project Manager (Intake) to own the centralised content intake for the EU Cross-channel Marketing team. You will triage requests, assess readiness, and ensure clear routing decisions to owners, coordinating capacity across internal and external partners.

You will operate within a hybrid London-based role, guiding prioritisation with senior stakeholders and refining automated intake tools.

Qualifications

Responsibilities

• Maintain live view of capacity against demand across internal teams and external partners.
• Apply routing criteria and campaign tiering with relevant leads for judgement.
• Manage prioritisation when demand exceeds capacity; propose alternatives or later slots.
• Track requests to owner and status; log declines/redirects with reasons.
• Collaborate with intake tooling owners to refine automated intake and trackers.
• Support quarterly/annual demand planning; ensure campaigns enter intake as committed.
• Clearly communicate service levels, lead times, and submission quality to teams.
• Provide leadership with current demand view and capacity pressure metrics.

About the Role

Monks is looking for an experienced embedded Senior Project Manager (Intake) to join our client's EU Cross-channel Marketing (XCM EU) team of a major global client, owning the centralised content intake that launches in early 2027. XCM EU is becoming the single front door for customer-facing content across the client's EU marketing organisation, and this role is the person who runs that front door day to day: assessing what comes in, understanding where capacity sits across internal teams and external partners, and making sure every request gets a clear routing decision and an owner. This is a senior project management role at the front of the process rather than on individual campaigns. You will not be producing the work yourself; you will be the person who knows what is coming, who can take it and when, and who keeps the whole picture honest. You will need to be highly connected across creative, campaign management, media and partner teams, and comfortable managing expectations with senior stakeholders when demand outstrips capacity.

The role is fully embedded in the client's XCM EU team and will be hybrid, with three days a week in the London office. This is a one-year fixed-term contract, starting as soon as possible.

Responsibilities

• Run the centralised intake day-to-day: triage incoming requests, assess brief completeness and strategic readiness, and coordinate the routing decision within agreed service levels.
• Build and maintain a live view of capacity against demand across internal teams (creative, campaign and programme management) and external production partners.
• Apply the agreed routing criteria and campaign tiering model, involving creative, campaign management and media leads where a request needs their judgement.
• Manage prioritisation trade-offs when demand exceeds capacity: propose alternative support paths or later slots, and elevate clearly where a decision is needed.
• Track every request through to an owner and a status, with declines and redirects logged with a reason.
• Partner with the intake tooling owners to refine the automated intake and backend tracker, and feed operational learnings back into the model.
• Support quarterly and annual demand planning, so that planned campaigns and tentpoles enter the intake as committed demand.
• Communicate expected service levels, lead times, and limitations clearly to requesting teams, and help them submit better briefs.
• Give leadership a clear, current view of incoming demand, routing decisions, and capacity pressure at all times.

About You

The essentials:

• 7+ years in project or programme management in a creative, marketing or production environment, agency or in-house.
• Proven track record running complex, multi-stakeholder programmes end to end, and owning capacity and prioritisation decisions across teams and partners as part of that.
• Comfortable operating in an ambiguous, newly established process and building structure as you go.
• Confident stakeholder management at senior level, able to say no or not yet and hold the line on priorities.
• Strong grasp of the creative and production process, so you can judge what a brief really needs and how long it will take.
• Fluent with project and resource management tools, and curious about automation and AI in process design.
• Highly organised, detail-focused and able to run many parallel threads without losing the overview.
• Excellent written and verbal communication in English.

Not a must, but a plus:

• Experience in a marketing operations or traffic function.
• Experience with centralised intake or shared-service models.
• Familiarity with multi-market campaign delivery and localisation.
