About the Team

This role is part of our Real Estate team, which covers environment, project planning, real estate finance, and litigation. The team advises on every stage of the property lifecycle, with expertise in construction, development, energy, infrastructure, hotel and leisure, investment, landlord and tenant matters, planning, environment, compulsory purchase, property litigation, real estate finance, and tax.

Responsibilities
  • Manage diaries, appointments, and meetings, including organizing refreshments.
  • Handle file management, including opening/closing files and maintaining electronic filing systems.
  • Proactively liaise with clients, take messages, and handle simple queries.
  • Collaborate with secretarial support to assist fee earners and clients, including during absences.
  • Manage billing and financial requirements, producing WIP and debt reports.
  • Handle legal documentation and correspondence to high standards.
  • Coordinate document production from initiation to delivery, involving Document Specialists as needed.
  • Organize conference calls and prepare client documents, engagement letters, conflict checks, and other legal forms.
  • Maintain CRM systems and support marketing and business development activities, including organizing events.
  • Use platforms like InterAction, TM Group, and Land Registry Portal for various tasks.
  • Perform ad hoc tasks as required and be flexible to work outside office hours when needed.
Experience and Knowledge
  • Legal Secretary/PA experience within a real estate department is essential.
  • Excellent diary management, organization, and prioritization skills.
  • Effective communication and relationship-building skills.
  • Teamwork and fast, accurate typing skills.
  • Proficiency in producing high-standard legal documents.
  • Professional telephone manner and message handling skills.
  • Technical skills in document/case management (iManage), finance systems (Evergreen), and CRM (InterAction).
  • Minimum typing speed of 65 wpm with accuracy.
