The Role
Are you looking for an exciting opportunity to make a difference? Join our team and contribute to the future of fusion energy. As Project Advisor, Global Mobility, you will play a pivotal role in project management of global mobility activities, including secondee mobilisation, immigration, service provider delivery, and invoicing. You will coordinate documentation for visitors and handle various administrative activities. Additionally, you will lead finance-related activities such as requisitions, POs, invoices, and reporting to ensure compliance and timely financial management. You will also be responsible for reporting, data accuracy, compliance, and process alignment, ensuring adherence to immigration practices, legal and regulatory requirements, contractual obligations, social security, taxation, insurances, and GDPR compliance. You may also participate in P&C activities and projects, delivering and developing exceptional Global Mobility services to the organization.
Key Accountabilities
- Project Management:
- Manage and oversee global mobility project updates, including estimation, planning, cost forecasting, and execution strategies for secondments.
- Maintain and report on mobility progress and service delivery costs.
- Evaluate and present decisions to maximize project benefits.
- Identify obstacles and develop creative solutions.
- Collaborate with the Project Sponsor and Global Mobility Manager to develop project plans.
- Communicate effectively within the project and with stakeholders, defining milestones and deliverables.
- Manage project documentation in compliance with UKAEA's Quality Assurance standards.
- Report progress, changes, budgets, and KPIs.
- Coordinate with other departments for effective collaboration.
Financial Management and Reporting:- Support invoicing, including tax/VAT considerations.
- Handle taxation, process mapping, and reporting for secondments.
- Assist with requisitions, POs, and invoice processing.
- Manage allowances and rates for international secondments and cross-charging.
- Ensure health insurance enrollments and refunds are processed efficiently.
- Develop reports to communicate progress to stakeholders.
Other Responsibilities:- Serve as the first point of contact for visitor inquiries and documentation.
- Promote EDI in all secondment and visitor processes.
- Coordinate with line managers and external providers for visa guidance and documentation.
- Ensure GDPR compliance and secure transfer of sensitive information.
- Prepare various letters, forms, and data related to secondments.
- Escalate complex requests appropriately.
- Champion UKAEA values and promote safety, health, and welfare.
- Contribute to best practices and quality standards.
- Perform additional duties as requested by management.
Qualifications
Essential:
- Project Management qualification (e.g., Prince2, APM Practitioner, Agile PMP).
- Excellent interpersonal skills and stakeholder influence.
- Proficiency in Microsoft Office, especially Excel and PowerPoint.
- Experience managing financial processes end-to-end.
- Strong planning, organizational skills, and attention to detail.
- Ability to work independently and collaboratively.
- Proactive safety awareness and UK compliance knowledge.
- Commercial acumen for economic decision-making.
- Excellent communication, influencing, and collaboration skills.
- Strong analytical skills and attention to detail.
- Experience working with external partners.
Desirable:
- Degree in programme & project management.
- Chartered status in a relevant STEM discipline.
- Experience with Unit4 Business System.
- Track record of delivering complex engineering projects on time and budget.
Background knowledge of fusion science, technology, or engineering is advantageous.
