As a Programme Office Project Assistant (Associate) at Kainos, you’ll be responsible for ensuring a high-quality service is provided to the Project Management capabilities within the EMEA Workday Services business unit, demonstrating best practice throughout. You will provide administrative support for our engagements and will have a key role in the efficient management and delivery of these projects.

You’ll work as part of the EMEA Workday Services Delivery team and report to the EMEA Delivery team lead. It’s a fast-paced environment, so it is important for you to ensure that workload is prioritised, and tasks are completed in a timely manner.

Your key responsibilities will include:

  1. Setting up projects and carrying out ongoing administration and maintenance within systems.
  2. Assisting with revenue and cost recognition.
  3. Assisting with managing project financials and reporting.
  4. Being responsible for Timesheet and Expense claim approvals.
  5. Assisting with month-end invoicing.
  6. Routing and delegation of PMO support requests.
  7. Managing weekly timesheet completion (project-specific).
  8. Dispatching invoices.
  9. Working with client PMO teams to ensure projects run smoothly.
  10. Taking on other ad-hoc administration duties.

Minimum (Essential) Requirements

  • GCSE English and Maths (Grade A*-C), or equivalent.
  • Good computer skills including MS Office, especially Excel, and the ability to learn new software applications.
  • Excellent organisational skills and confidence in managing the team’s group email and arranging meetings with project managers.
  • Ability to follow company policies, procedures, and processes.
  • Demonstrate commercial awareness and understanding of project and business dynamics.
  • Effective personal time management and attention to detail under tight deadlines.
  • Ability to work efficiently, make sensible decisions under pressure, and prioritise workload in a fast-paced environment.
  • A self-starter capable of working independently with minimal supervision and escalating issues as needed.
  • Strong verbal and written communication skills with staff and external stakeholders.
  • Proven team skills, including taking direction from others.
  • Previous administrative experience in a relevant environment with a personable, collaborative style.

Desirable

  • Experience as a Project Coordinator, Project Assistant, PMO Associate, or similar roles.
  • Experience with PSA software (e.g., Kimble or Workday).
  • Ability to use charts, pivots, and formulas in Excel.
