  • Location : This is a hybrid role based out of our head office in Surrey, BC.
  • Annual Base Salary : $77,800 - $88,400 CAD

Executive Assistant to the CEO

You will collaborate closely with the CEO, and communicate with the Executive team and major strategic partners, to coordinate meetings, prepare key documents, and ensure the smooth operation of executive functions. Given the nature of the role, the ability to handle sensitive information with the utmost discretion and professionalism is essential. This role offers a unique opportunity to contribute to the overall efficiency and success of our organization by acting as a trusted partner to the CEO.

About The Team

As a key member of Safe Software's team, you will work directly with the CEO to provide critical administrative support and help streamline day-to-day operations for the CEO. The primary focus of this role is to ensure the CEO's schedule, communications, and priorities are managed efficiently and professionally.

You will be an essential part of helping the CEO stay organized, prepared, and focused, allowing them to lead the organization effectively.

What You'll Be Doing

  • Manage complex calendars, travel arrangements, and meeting coordination across multiple time zones.
  • Prepare, edit, and review reports, presentations, and correspondence for the CEO.
  • Handle sensitive and confidential information with the utmost discretion and professionalism.
  • Organize and coordinate executive meetings, including preparing agendas, materials, and minutes.
  • Support the planning and execution of internal and external executive events.
  • Perform data entry, filing, and record-keeping with a high level of accuracy.
  • Act as a liaison between the CEO and internal or external stakeholders.
  • Ensure the executive office environment is professional, organized, and welcoming.

Qualifications, Skills, and Competencies

Safers come from a variety of backgrounds with diverse skills and knowledge. That being said, those who are most successful in this role have experience with the following :

Required Skills :

  • 6+ years of experience in an administrative or executive support role, with a preference for experience supporting a CEO or senior executives.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational, time management, and multitasking abilities.
  • Exceptional written and verbal communication skills.
  • High level of attention to detail and accuracy.
  • Ability to handle multiple high-priority tasks simultaneously in a fast-paced environment.
  • Proven ability to maintain confidentiality and exercise sound judgment.
  • Self-motivated, proactive, and able to anticipate needs.
  • High school diploma or equivalent required; a degree in Business Administration or a related field is preferred.

Bonus Points for :

  • Experience working in a major SaaS or technology company.
  • Familiarity with scheduling and email management tools.
  • Knowledge of Safe Software's products, services, and the data integration and ETL market.
  • Experience working in a fast-paced, innovative, and collaborative environment.
  • A professional and friendly demeanor with strong problem-solving skills.
