Job Overview

We have a vacancy for a receptionist/administrator, working with a friendly reception team. We are seeking a confident, enthusiastic additional member of staff to join our team, providing a high quality site administration and call handling service.

Experience in a similar role is essential as you will be required to work autonomously. Full training will be provided.

Hours will be between 08:30 - 16:30 Monday to Friday.

Main duties of the job
  1. Act as the first point of contact for staff raising issues regarding buildings.
  2. Monitor and manage the Reception and CSU Estates inbox, action requests, and arrange repairs using Connect (NHS Property Services online Helpdesk).
  3. Provide a high-quality site administration and call handling service.
  4. Assist in managing the day-to-day building and facilities of Leyland House, making decisions in the absence of the Estates Manager.
  5. Assist with compliance to Health, Safety, Fire, and Security regulations.
  6. Process incoming and outgoing mail.

Detailed Job Description and Main Responsibilities
  1. Maintain stock levels of stationery using the ordering system.
  2. Monitor room booking systems and ensure rooms are tidy and equipped for meetings, including video conferencing and presentation equipment.
  3. Record the destruction of returned ID badges.
  4. Process incoming mail, scan to relevant teams, and print outgoing patient letters.
  5. Support photocopiers and scanning, troubleshoot minor faults, and communicate downtimes.
  6. Ensure confidential waste bins are emptied and checked by contractors.
Candidate Preferences and Notes
