Job Description:

Your role in our team:

  • We are looking for a skilled Receptionist/Administrator to join our Central Services Team at Saxham. Based at Reception, you will be responsible for all reception duties, as well as administrative tasks to assist other departments.
  • Reception Duties:
    • Answering the telephone professionally and forwarding calls appropriately.
    • Meeting and greeting visitors, ensuring they complete sign-in procedures and providing refreshments.
    • Maintaining the Reception area’s presentation.
    • Handling incoming and outgoing post, including sorting, distributing, and franked mailing.
    • Assisting customers in the CLAAS shop as needed.
  • Administration Duties:
    • Updating Health & Safety notice boards and documentation.
    • Receiving, scanning, and filing inspection sheets from departments.
    • Maintaining First Aid supplies and list of First Aiders, and coordinating First Aid training.
    • Supporting Sales & Marketing activities like mailing brochures, mailshots, and updating email groups.
    • Managing meeting room bookings, refreshments, hotel arrangements, and travel bookings.
    • Performing general administrative tasks such as ordering stationery and filing.
Your profile:
  • Essential Skills and Knowledge:
    • Ability to remain calm under pressure and present professionally face-to-face, on the phone, and via email.
    • Proficiency in Outlook, Word, and Excel.
    • Ability to multitask in a busy environment.
    • Previous reception or customer-facing experience is advantageous.

Hours of Work: 1.00 pm - 5.30 pm, Monday to Friday. Additional hours may be required for covering leave or sickness.
