Job Description:
Your role in our team:
- We are looking for a skilled Receptionist/Administrator to join our Central Services Team at Saxham. Based at Reception, you will be responsible for all reception duties, as well as administrative tasks to assist other departments.
- Reception Duties:
- Answering the telephone professionally and forwarding calls appropriately.
- Meeting and greeting visitors, ensuring they complete sign-in procedures and providing refreshments.
- Maintaining the Reception area’s presentation.
- Handling incoming and outgoing post, including sorting, distributing, and franked mailing.
- Assisting customers in the CLAAS shop as needed.
- Administration Duties:
- Updating Health & Safety notice boards and documentation.
- Receiving, scanning, and filing inspection sheets from departments.
- Maintaining First Aid supplies and list of First Aiders, and coordinating First Aid training.
- Supporting Sales & Marketing activities like mailing brochures, mailshots, and updating email groups.
- Managing meeting room bookings, refreshments, hotel arrangements, and travel bookings.
- Performing general administrative tasks such as ordering stationery and filing.
Your profile:
- Essential Skills and Knowledge:
- Ability to remain calm under pressure and present professionally face-to-face, on the phone, and via email.
- Proficiency in Outlook, Word, and Excel.
- Ability to multitask in a busy environment.
- Previous reception or customer-facing experience is advantageous.
Hours of Work: 1.00 pm - 5.30 pm, Monday to Friday. Additional hours may be required for covering leave or sickness.
