About The Role

This role is Durham office based as the largest office location with responsibilities spanning all UK facilities and offering support advice to Australia. We utilise technology such that only periodic physical visits to Glasgow (West Regent Street) and London offices (West Smithfield) are expected and required. Responsibilities will cover maintaining and improving our offices and managing the day-to-day Health and Safety.

Day-to-day Responsibilities

  • Working with functional and regional teams to ensure the smooth and effective running of the offices.
  • Ensuring the offices are a welcoming environment that our people want to spend time in.
  • Line manage and provide day-to-day support for part-time Office Assistants to maintain high standards of presentation and cleanliness at the offices, ensuring they are always safe and presentable.
  • Responsibility for front of house, providing support and cover, including triaging phone calls, managing deliveries and greeting face-to-face visitors.
  • Provide onsite event management facilities supporting and enabling our consultants to engage and host Client events in our office locations.
  • Oversee building management and maintenance with responsibility for buildings, including making improvements, liaising with landlords and booking third-party contractors where necessary.
  • Working with and reporting to Security & Compliance to manage day-to-day Health & Safety across the business daily and supporting ongoing improvement of Health & Safety policies, risk assessments and training materials such that UK Health & Safety Regulations are upheld and exceeded where appropriate.
  • Ensure Fire Safety Regulations are met by maintaining contracts with existing suppliers for all locations to maintain fire alarms, fire equipment, sprinklers and emergency lighting and ensure fire point and evacuation testing.
  • Related physical or other Security, Data Protection or compliance matters.
  • Ensure risk assessments, maintenance, and third-party contract arrangements are reviewed at appropriate intervals.
  • Manage the facilities contract renewals working closely with our Purchasing team and brokers to ensure reasonable costs.
  • Be a key member on the Health & Safety Committee, Social & Wellbeing and Net Zero Groups.

Essential

Some of the skills we are looking for

  • Minimum 3 years suitable experience in health and safety.
  • Be qualified in Health & Safety, eg, NEBOSH, IOSH.
  • Prior experience of office/facilities management.
  • Must have working & implementation knowledge of UK fire and H&S regulations.
