With over 100 employees, the Dalkia Group central function includes HR, Payroll, Finance, Legal, IT, QSHE, and Communications teams supporting our business units. We provide technical expertise, governance, policy, guidance, and support to ensure high-quality service delivery.

The Role:

The Senior Pensions Administrator reports to the Head of Payroll and Pensions and leads the company's pension scheme. Responsibilities include attending trustee meetings, monitoring provider performance, applying pension legislation, supporting auto-enrolment, and acting as the main contact for HR, Payroll, and The Pensions Regulator. The role also involves driving process improvements, supporting staff education on pensions, and ensuring an excellent employee experience through accurate data and communication.

This is a hybrid role, requiring up to 2 days per week in Birmingham Office and travel to other sites as needed.

Responsibilities:

As our Senior Pension Administrator, you will:

  • Ensure Dalkia's compliance with all pension regulations.
  • Make changes to pension-related information – contribution increases, new joiners, contractual increases, etc., in our payroll system Midland HR, working with the payroll team to resolve issues.
  • Submit files for payment, perform key checks to ensure payments reconcile, and work with Group Finance for correct recharges to Business Units each month.
  • Collaborate with external pension administrators such as Legal and General, Aviva, Local Government schemes, and others to update their systems and foster long-term relationships.
  • Attend annual trustee meetings for the Legal and General Master Trust Defined Contribution Scheme.
  • Monitor the performance of Legal and General, alerting the relevant parties of SLA issues.
  • Ensure contributions are paid ahead of statutory deadlines and escalate issues promptly.
  • Apply auto-enrollment and other pension legislation correctly.
  • Provide annual communications to members (details to be determined).
  • Participate in projects to educate members on pension matters.
  • Act as the primary contact for HR and Payroll queries, providing support and training.
  • Serve as the main contact for The Pensions Regulator.
  • Work collaboratively with Payroll and HR Systems teams to ensure pension changes are accurately reflected in payroll systems.
  • Proactively seek to improve process efficiency.
  • Ensure employees have a positive experience regarding pensions.
  • Maintain accurate pension data within payroll systems.
