Job description

As a payroll administrator, you are responsible for general payroll processing and administration, ensuring compliance with statutory legislation, regulations, internal control standards, and company processing guidelines.

As a leader within the function, demonstrating behaviors that support team leadership and company culture:

  1. Leading by example and actively demonstrating and living H&M values, encouraging the team to do the same.
  2. Managing the Payroll Administrator team, providing advice and guidance, and encouraging continuous improvement and a solution-focused approach.
  3. Coordinating investigations and handling ad-hoc queries as needed.
  4. Ensuring all key payroll and internal controls are performed accurately and documented where necessary.
  5. Liaising with the Payroll Supervisor to keep them updated on payroll status.

Payroll Processing (2-week & Monthly):

  1. Organizing the Payroll Administrator team to ensure quality, accuracy, and deadlines.
  2. Ensuring all checks and controls are in place regularly.
  3. Carrying out tasks allocated as per new SAP / Zalaris processes.
  4. Handling payroll queries efficiently to ensure a great customer experience.
  5. Reporting concerns in T&A to Payroll Supervisor and relevant system supervisors.
  6. Calculating correct pay, notifying employees, and requesting returns using standard templates.
  7. Liaising with employees to discuss payments and queries.
  8. Maintaining records ongoing.

General Administration:

  1. Managing general office organization.
  2. Keeping process notes and local work instructions up to date.
  3. Filing and other administrative tasks as required.

Who You’ll Work With

You will collaborate with multiple teams to support the expansion of the business, working closely with Payroll, Area, and Store teams to provide insights and recommendations.

Who You Are

We are looking for candidates with:

  • Previous experience in a payroll processing environment.
  • Excellent attention to detail and ability to learn and adapt quickly to new software/systems.
  • Proficiency in Microsoft Office, especially Excel (VLOOKUP & Pivot tables).
  • Management experience.
  • A coaching approach to enable colleagues to improve their skills.
  • Self-motivated and capable of working in a fast-paced environment.
  • Understanding of data confidentiality and compliance with Data Protection Act.
  • Knowledge of statutory payments legislation.
  • Basic knowledge of Employment Law.
  • Some knowledge of asylum and immigration laws and processes.
