Job summary

Connect2Dudley is seeking an organised administrator to join the Deprivation of Liberty Safeguards (DoLS) team in Dudley. You will receive, process and record referrals, manage case files, and coordinate assessments, ensuring all procedures are followed.

You will liaise with Best Interests Assessors, care providers and partner agencies, maintain records, support governance and respond to information requests, audits and complaints while upholding GDPR and confidentiality.

Responsibilities

  • Receive, process and record DoLS referrals, applications and associated documentation in accordance with established procedures.
  • Maintain accurate and up-to-date records on electronic case management systems.
  • Monitor workflow activity and statutory timescales and bring potential delays or issues to the attention of managers.
  • Coordinate the administrative allocation of assessments and related activity as directed by the Advanced Practitioner.
  • Liaise with Best Interests Assessors, Mental Health Assessors, advocacy services, care providers and partner agencies to arrange assessments and obtain required information.
  • Support arrangements for advocacy, representatives and relevant correspondence, ensuring required information is provided to individuals and their representatives in accordance with statutory requirements.
  • Provide information regarding DoLS processes and procedures to practitioners, providers, service users, families and partner agencies.
  • Prepare standard correspondence, documentation and reports relating to DoLS activity.
  • Assist with the collection and collation of performance information and management reports.
  • Maintain up-to-date knowledge of legislation, statutory guidance, national policy developments and best practice relating to deprivation of liberty.
  • Maintain accurate records of approved Best Interests Assessors, Mental Health Assessors and other commissioned professionals involved in the DoLS process.
  • Support responses to complaints, audits, inspections, Freedom of Information requests and data requests by gathering and providing information.
  • Assist in maintaining records relating to authorisations, assessments, renewals and reviews.
  • Process invoices and undertake routine financial administration in accordance with council procedures.
  • Support the review and updating of local procedures, guidance documents and administrative systems.
  • Arrange and coordinate DoLS review meetings and related administrative activity where required.
  • Provide administrative support to meetings relating to the DoLS service, including preparation of papers, note taking and action tracking where required.
  • Maintain confidentiality and ensure compliance with information governance, GDPR and council policies.
  • Work collaboratively with colleagues and partners to support the efficient operation of the DoLS service.
  • Promote equality, diversity, inclusion and person‑centred practice in all aspects of work.
  • Undertake other duties commensurate with the grade and purpose of the post.
  • Work flexibly across the service to support operational priorities and service continuity.
