Job description

Job Description

We are currently seeking a Document Controller to join our Infrastructure Digital business. This role involves working with multi-disciplinary project delivery teams, requiring initiative, problem-solving skills, strong interpersonal and communication skills, experience with control procedures, and familiarity with Common Data Environments (CDE) / Electronic Document Management Systems (EDMS).

Key Responsibilities
  1. Manage CDE / EDMS: Handle day-to-day user account management and respond to requests for file/document adjustments.
  2. Ensure document quality control by monitoring compliance, verifying formats, and metadata.
  3. Manage project communication, including mail, correspondence, and RFIs within the system.
  4. Support information package assembly, check completeness during design reviews, and report adherence to standards and timelines.
  5. Organize training sessions for new and existing users, provide guidance on protocols, and maintain training logs.
  6. Maintain container configurations and workflows, fixing or releasing workflows as needed.
  7. Update user directories, IM protocols, and file naming conventions to reflect project changes.
  8. Respond to ad-hoc document management and CDE system requests, offering advice and guidance.
  9. Support the configuration and implementation of client CDE / EDMS systems.
  10. Interface with BIM standards, processes, 3D models, and data within the CDE / EDMS.
Qualifications
Essential Skills & Experience
  • Minimum 2 years of relevant experience as a Document Controller using industry-leading CDE software.
  • Knowledge of ISO 19650 Information Management standards.
  • Expertise with at least one of the following: Aconex, ViewPoint/4P, Asite, Bentley Projectwise.
  • Ability to work remotely with support.
  • Excellent organizational skills and attention to detail.
  • Experience in data migration between systems.
  • Proficiency in uploading and cataloging documents.
  • Effective communication skills for interaction with clients and external organizations.
  • Ability to develop strong relationships with clients, contractors, and consultants.
Desirable Skills & Experience
  • Experience engaging with stakeholders to analyze and modify EDMS workflows.
  • Experience working in a site environment.
  • Willingness to learn and grow in Information Management.
