The Role

The Document Controller plays a critical role in supporting the successful delivery of a major data centre project by ensuring that project information is accurately managed, controlled, and distributed throughout the project lifecycle.

Working closely with Design, Engineering, Construction, Commercial, Quality, and Commissioning teams, you will be responsible for maintaining the integrity of all project documentation, ensuring information is accessible, traceable, and compliant with project and client requirements.

This role is ideal for a highly organised professional who thrives in a fast-paced construction environment and enjoys working collaboratively across multidisciplinary teams to support project success.

  • Ensure all project documentation is recorded, distributed, filed, and maintained in accordance with CTS and client requirements.

  • Perform quality checks on all documentation prior to submission, including document numbering, naming conventions, revision status, metadata, and completeness.

  • Maintain document registers, Master Deliverable Registers (MDRs), trackers, and project records to ensure information remains accurate and up to date.

  • Ensure project teams have access to the latest approved documentation and that superseded information is appropriately controlled and archived.

Workflow Management & Coordination
  • Manage document review, approval, and distribution workflows across the project.

  • Monitor outstanding reviews and approvals, proactively following up with relevant stakeholders to maintain project timelines.

  • Coordinate documentation between CTS, subcontractors, suppliers, consultants, client representatives, and project teams.

  • Prepare and issue transmittals while maintaining full document traceability and audit history.

  • Support document submission processes and ensure compliance with project-specific requirements.

Design, Construction & Commissioning Support
  • Manage and track design documentation, technical submittals, RFIs, drawings, specifications, and vendor documentation.

  • Support construction teams by ensuring timely distribution of approved project information.

  • Assist Quality and Commissioning teams with inspection records, testing documentation, turnover packages, and handover information.

  • Support the preparation and management of final project documentation and closeout records.

  • Ensure documentation requirements are met during commissioning, system turnover, and client handover phases.

Reporting & Compliance
  • Monitor documentation status and produce regular reports highlighting outstanding submissions, overdue reviews, and key project deliverables.

  • Ensure compliance with CTS document control procedures, project quality requirements, and client standards.

  • Assist with project audits and document reviews when required.

  • Support continuous improvement initiatives within project controls and information management processes.

  • Promote best practice in document control across the project team.
