Job summary

Novelus Ltd. is looking for an organised Design Coordinator to join our Stoke-on-Trent team. The role focuses on administration, document control, and coordinating information across multiple projects. Training is provided, and you will support the design team and external portals to keep projects moving.

Key duties include managing document workflows, uploading drawings for client approval, and maintaining RAMS and manuals. A proactive team player who communicates well will thrive in this role.

Qualifications

  • GCSEs Maths and English required.
  • Full training will be provided for the right candidate.
  • Experience in document management or project administration is desirable.

Responsibilities

  • Transfer files between internal and external systems.
  • Manage document workflows across multiple projects.
  • Apply and maintain document naming.
  • Upload drawings for client approval and monitor project portals for updates.
  • Download and distribute client comments for internal review.
  • Collate and issue O&M manuals.
  • Maintain and update technical manuals and company documentation.
  • Create and update RAMS as needed.
  • Update project trackers and monitor progress.

We are looking for an organised and detail-focused Design Coordinator to join our growing team based in Stoke on Trent. This is an excellent opportunity for someone who enjoys administration, document control and coordinating information across multiple projects.

The Role

As our Design Coordinator, you'll play a key role in supporting the design team by ensuring project documentation is organised, accurate and delivered on time. You'll work closely with internal teams, customers and external project portals to keep projects moving efficiently.

Key Responsibilities
  • Transfer files between internal and external systems.
  • Manage document workflows across multiple projects.
  • Apply and maintain document naming.
  • Upload drawings for client approval and monitor project portals for updates and feedback.
  • Download and distribute client comments for internal review.
  • Collate and issue Operation & Maintenance (O&M) manuals.
  • Maintain and update technical manuals and company documentation.
  • Create and update site-specific Risk Assessments and Method Statements (RAMS).
  • Update project trackers and monitor project progress.
  • Prepare and issue CAD drawings with project-specific information.
  • Provide administrative support to the Pre-Contracts Design Manager.
  • Carry out general administration duties as required.
What We're Looking For
  • Highly organised with excellent attention to detail.
  • Confident using Microsoft Office and computer systems.
  • A strong communicator with good written and verbal skills.
  • Able to manage multiple tasks and deadlines.
  • A team player with a proactive and positive attitude.
  • Comfortable working independently when required.
Desirable Skills
  • Experience of document management or project administration.
  • Previous experience within construction, manufacturing or engineering.
  • Knowledge or experience of 2D CAD.
  • Experience working with technical drawings or project documentation.
Qualifications
  • GCSEs (Grade A-C / 4-9), including Maths and English.
  • Full training will be provided for the right candidate.
