Deputy Practice Manager (Full time or Part time)

Job Summary
  • Support day-to-day practice operations and management.
  • Overall responsibility for HR including staff leave, sickness records, recruitment, induction, appraisals, training, disciplinary meetings.
  • Assist in IT management, clinical system setup, website updates, cloud telephony, and messaging services.
  • Support practice finance, pensions, and payroll.
  • Manage staff rotas, appointments, and leave.
  • Coordinate medical trainees and student placements.
  • Contribute to quality improvement and audit activities.
  • Handle patient complaints and resolutions.
  • Support information governance, GDPR compliance, and IT oversight.
  • Deputise for the Practice Manager as needed.
  • Perform other duties as required.
Key Responsibilities
  • Oversee patient navigation and staff responsibilities.
  • Ensure smooth practice operations in collaboration with clinical staff.
  • Provide leadership, training, and ensure data quality adherence.
  • Ensure policy and procedure compliance.
  • Assist in statutory requirements implementation.
  • Support project work, payroll, pensions, accounts, and health and safety.
  • Familiarise with clinical systems and quality standards.
  • Undertake annual staff appraisals.
  • Assist in CQC, QOF, and GP specifications compliance.
  • Maintain practice manuals and toolkits.
  • Manage patient complaints and significant event databases.
  • Identify trends and develop risk reduction solutions.
  • Act as primary contact for external stakeholders in the absence of the Practice Manager.
  • Promote continuous improvement and confidentiality.
  • Review Business Continuity and Disaster Recovery plans annually.
  • Complete practice declarations and returns.
  • Handle other administrative tasks and support workload management.
Person Specification
  • Essential: Knowledge of GDPR, governance, MS Office, clinical systems.
  • Desirable: NHS knowledge, staff training experience, process review experience.
  • Qualifications: Management qualification or equivalent (essential); degree or relevant qualification in HR, IT (desirable).
  • Experience: Healthcare management, team management, HR, IT, and project experience (essential); leadership in multidisciplinary settings, primary care experience (desirable).
Other Requirements

This role is subject to DBS checks under the Rehabilitation of Offenders Act 1974.
