Make It Matter

At Ashfield MedComms, we live and breathe our values and are committed to excellence. Our people are the key to our success. Connecting with new talent to join our team is fundamental to driving our business forwards. This is the place to grow your career.

So, what’s the job?

At Ashfield MedComms, a division of Inizio, we help major pharmaceutical companies with the publication and presentation of key research projects at international medical journals and congresses.

As a Database/Publications Coordinator, you will be an integral part of the publications team, tracking the review process for developing medical publications. Your responsibilities include maintaining and reporting on client databases, tracking timelines and author comments through a publication review database, Datavision, iEnvision, and Excel spreadsheets; providing accurate and timely updates to meet client and author needs. You will also upload and download information regarding ongoing projects, ensure communication with relevant contacts, and report issues relating to the databases. You will collaborate with medical writers and account managers to ensure smooth publication processes aligned with targets.

Who is the ideal candidate?

Since you will be tracking and reporting on others’ work, high attention to detail and excellent word processing skills are essential. We seek a methodical, process-driven individual with strong communication skills who can work well within an established team. You should be able to work independently, prioritize a varied workload, and adapt during busy periods. Experience in data administration and a background in healthcare communications or pharmaceuticals are advantageous but not essential.

Typical daily tasks for the Database/Publications Coordinator:
  • Regular contact with clients via email and Teams calls.
  • Accurately upload/download information regarding ongoing projects.
  • Proactively share information from the database with relevant editorial team members.
  • File information from the database in relevant internal folders.
  • Update publication trackers regularly and provide internal updates.
  • Inform line managers of database issues and collaborate on resolutions.

*This position includes an initial three-day face-to-face training at our Maidenhead office.

Don't meet every requirement? That's okay! We are dedicated to building a diverse, inclusive, and authentic workplace. If you're excited about this role but your experience doesn't match every qualification, we encourage you to apply. You might be the perfect fit for this role or others.
