Job summary

David Ross Education Trust is seeking an Exams Officer to manage the administration of all examinations and invigilation in a large secondary academy. You will liaise with exam boards, handle timetables, and ensure JCQ compliance while maintaining accurate records and secure handling of papers.

The role involves using the Bromcom MIS, generating regular reports, and supporting statutory returns. This is a permanent, term-time schedule with 37 hours weekly across 39 weeks per year.

Qualifications

  • Educated to GCSE level or equivalent with English and Maths.
  • Experience in an examination role with accurate records.
  • Good ICT skills to support learning and record keeping.

Responsibilities

  • Oversee the smooth running of internal and external examinations in JCQ-compliant manner.
  • Liaise with examination boards to ensure accurate administration and rules compliance.
  • Disseminate examination information to staff, pupils and parents/carers.
  • Complete examination entries and securely handle papers.
  • Organise external invigilators and provide training.
  • Manage the Bromcom MIS for the academy and assist reports.
  • Input data, run reports, and highlight trends and risks.
  • Support timetable creation and ensure statutory returns are completed on time.
  • Collaborate with suppliers of analytical data systems as needed.
  • Work on a term-time schedule: 37 hours/week, 39 weeks/year.

Job description

To be responsible for the overall smooth running of internal and external examinations, ensuring that all related administration and preparation is undertaken in accordance with the Joint Council for Qualifications (JCQ) regulations (on behalf of the JCQ member awarding bodies) and/or awarding body rules for exam administration in a consistent and secure fashion, thereby helping to maintain the integrity of the assessment process

To liaise with examination boards to ensure the accurate administration of all examinations, including ensuring compliance with examination board rules, coursework requirements

To disseminate examination information to staff, pupils and parents/carers, including exam and invigilation timetables, guidelines and querying results.

Complete examination entries and securely store and send completed examination papers to external examination boards ensuring all deadlines are met.

Organise the academy's external invigilators, including training and ensuring up-to-date information is provided to them.

Be responsible for the local management of the MIS System (Bromcom) for a large Secondary Academy.

Input data, check information and run reports for Principals, Area Data Manager, Area Data Officer and Improvement Cluster Leads to help highlight trends, results, best practice and potential risks.

Work with the Central Data Team in the creation and implementation of the academy timetable

Be responsible for ensuring that statutory returns are completed accurately and on time.

To support the Central Data Team in liaisons with suppliers of analytical data systems to help develop appropriate systems

This is a permanent role working 37 hours a week 39 weeks a year - Term Time Only

  • Educated to GCSE level/ NVQ-level 2 or equivalent, including English and Mathematics
  • Experience in an examination role with excellent communication skills at a range of levels.
  • Good people skills with an ability to command the respect of students and collaborate effectively with staff.
  • Good communication skills and good command of spoken and written English
  • Proven experience in maintaining accurate records and the safe storage of confidential information
