Job Purpose
The Administration Assistant performs all the non-teaching functions at the College. It is anticipated that the Administration Assistant managed responsibilities will increase as the College grows in terms of student numbers. At present the person appointed will need to be able to handle a wide range of tasks and be very adaptable in his or her approach. Must be advanced in Excel and have knowledge of UKVI Tier 4 compliance and experience in HE.

Salary: Up to £28,000 depending on experience

Main Duties And Responsibilities
Student Finance
- Monitoring student loans and reporting to Central Income team
- Issuance of invoicing and chasing on outstanding debt
- Dealing with student finance queries
- Updating internal systems reporting on finance and any changes and updates
- Monitoring attrition
College Management Support
- Take hands-on responsibility for the full range of administrative tasks within the College, in support of the College Manager and the teaching team
- Work, as required, with the IT systems of both Oxford International and the University of Greenwich
- Take responsibility for communications within the College, updates of notice boards and student events
- Regular liaison with relevant administrative staff of Oxford International and of the University of Greenwich for example, admissions, marketing, accommodation, HR and estates
- Manage the College Manager’s diary and schedule his or her meetings and appointments
- Contribute to the creation in the College of a friendly and supportive atmosphere for students and staff
Well-being and student welfare
- Identify well-being issues amongst students
- To liaise with the university well-being team for UGIC referrals
- Organise welfare meetings with UGIC students and liaise with the Admin and Senior Leadership team
- Upkeep student records and follow up where required
Reporting
- Updating Intrinisq in real time
Resources
- Order office supplies, College stationery requirements, text and reference books and other resources necessary for the work and efficient functioning of the College
Reporting/Meetings
- Cover reception whilst meetings take place, answer door and phone
Students
- Support provision of basic student welfare services within the College and ensure students are informed and have access (with the assistance of College Manager, if necessary) to the specialised student services provided by the University of Greenwich.
- Assisting with induction and enrolment
Examinations Officer
- Supporting College Manager with examination papers preparation, in house maintenance and archiving
External/Reception
- Support College Manager by covering the front desk as necessary, deal with enquiries in person or over the telephone and give a warm welcome to visitors
Person specification
Statutory Requirements
- Eligibility to live and work in the UK
- Undergo an Enhanced DBS disclosure check or overseas equivalent
Qualifications
- Administrative qualification at an advanced vocational level
- Undergraduate degree
- Certified IT skills
- First aid-trained
Experience And Knowledge
- Significant office/administrative experience
- Managerial experience/having specified accountabilities in an administrative context
- PA/Reception experience
- Worked in a further or higher education institution
- Experience of working with international students/non-English
Skills And Abilities
- Excellent written and verbal communication skills in English
- Exceptional organisational skills
- Ability to work without close supervision and to set own priorities
