Job description

The role is to collate Electoral Register data files received from councils and update them on the web‑site within specified timeframes, whilst updating internal record‑keeping systems with all activity taken. To resolve all issues arising from incorrectly formatted files directly with the councils.

MAIN DUTIES AND RESPONSIBILITIES
  • Participate in the annual requests for the Electoral Register to include making payment requests to Finance Department and notifying councils once payment has been made
  • Download and extract data from files received via email and secure sites within specified deadlines
  • Format and upload data files to the secure site within specified deadlines
  • Send data files whilst adhering to strict security standards
  • Update in‑house system with all activity taken on data files
  • Act as a point of contact to councils by both telephone and email on a daily basis
  • Action all manual amendment messages received according to specified deadlines
  • Address all enquiries received from the public regarding the data held
  • Liaise with the IT Department regarding updates to the data held
  • Maintain accurate records on the electronic filing system
  • Update and generate stats reports as directed
  • Support Operations Team as and when required
  • Carry out general day‑to‑day duties as and when required to ensure the smooth running of the company
OTHER RESPONSIBILITIES
Security/Training Responsibilities
  • Comply with the Company’s information security and data protection policies and the Company’s Integrated Management System (IMS) at all times
  • Follow all instructions as laid out within the IMS and local instructions offered by management
  • Study and be aware of relevant controls and instructions as highlighted within the IMS
  • Agree to utilise and manage all assets as stipulated
  • Report security and data protection events, incidents, or concerns via the standard reporting procedures as set out in the IMS
  • Partake in on‑going security and data protection competence tests as required
  • Maintain at all times the confidentiality of all the company’s privileged data and secrets, and not to divulge the same
Financial Conduct Authority (FCA) Compliance
  • Comply with the Company’s FCA policies and processes
  • Attend FCA training provided by the Company, to gain awareness and understanding of the FCA principles of business at www.handbook.fca.org.uk/handbook/PRIN/2/1.html
  • Perform day‑to‑day activities in accordance with the requirements and spirit of the FCA principles of business
PERSON SPECIFICATION
  • Previous experience in working with data files and working to deadlines
  • Educated to GCSE level; C grade or above for English and Maths
  • Proficient use of Outlook, Excel and Internet Applications
  • High attention to detail
  • Able to communicate effectively
  • Ability to use various web‑site applications
  • Good team player, with drive and flexible attitude to support and assist colleagues
  • Strong organisational and time management skills
