Job summary

The University of Cambridge is seeking a part-time Centre Administrator (0.6 FTE) for the Ax:son Johnson Centre for the Study of Classical Architecture (CSCA) within the Faculty of Architecture and History of Art. The fixed-term role runs until 30 September 2028, with Fridays in term time and occasional one-off events, plus a July trip to Sweden for the Summer School.

Job description

The Ax:son Johnson Centre for the Study of Classical Architecture (CSCA) at the Faculty of Architecture and History of Art is seeking a part time (0.6 FTE) Centre Administrator. The Centre was established in 2021 as a collaboration between the two constituent Departments of the University's Faculty of Architecture and History of Art, working with the Faculty of Classics. This role will be fixed term until 30 September 2028 due to limited funding.

This role will play a vital part in the day-to-day running of the Centre. The Centre Administrator is a key staff member ensuring the Director, Deputy Director, Visiting Professors, Postdoctoral Research Associates and PhD students receive the operational support they need in order to produce world class research. The role holder will need to work Fridays in term time as well as attend one-off events. During July, the role holder will go to Sweden to support the Summer School.

Some Key Responsibilities Of The Role Holder Include
  • Coordinate and oversee the efficient administration of the Centre for the Study of Classical Architecture (CSCA), working closely with the Director. Assist with the production of reports by gathering and analysis of data as required by stakeholders. Be the main point of contact with stakeholders and liaise with them as required.
  • Carry out project financial administration. Process expenses claims. Process invoices. Raise purchase orders and manage purchasing requisitions in accordance with University financial procedures and financial regulations. Maintain accurate records of expenditure against research grants and ratify these with University Central System (CUFS). Check monthly statements and invoices by liaising closely with Departmental Finance office and setting up spreadsheets to facilitate this. Keep a running record of actual expenditure against the relevant budget headings, including for individual Centre staff and students.
  • Organise events such as the regular seminar series and one-off conferences, workshops/ training sessions. Make all necessary arrangements including booking rooms, co-ordinating travel arrangements, liaising with external speakers, arranging catering, and dealing with expense reimbursements. Provide in-person logistical support at events, both practical and, where appropriate, technological.
