Key Responsibilities

• Act as the main point of contact for multiple clients, building rapport and trust
• Manage inboxes, diaries, travel bookings, meetings, CRMs, and processes
• Handle data entry, research projects, note‑taking, transcription, and process writing
• Create social media content, Canva designs, and update websites/online stores
• Coordinate projects and tasks, ensuring smooth workflows across the team
• Proactively manage client workloads and prioritize urgent tasks
• Contribute ideas to improve client businesses and Vibe VA’s growth

Candidate Requirements

Essential:

• Minimum 2 years’ experience as a freelance Virtual Assistant managing multiple clients
• Previous PA or office admin experience supporting executives or entrepreneurs
• Proven ability to manage SME business owners with diverse requirements
• Tech‑savvy, confident with tools such as Asana, Monday.com, Slack, Zoom, Canva, Wix/Squarespace, Microsoft Office, Google Workspace, Mailchimp, and CRMs
• Strong communication, organizational, and project coordination skills
• UK‑based with work authorization

Preferred:

• Higher education degree from an accredited institution
• Experience in lead management or CRM systems
• Strong diction and enunciation
