Overall, Purpose
As the Corporate Receptionist, you will be permanently based at the reception desk covering the front of house function within this busy and newly refurbished office building.
You will be part of a team of two, sharing the desk with the building manager, welcoming and always engaging with the occupiers, their visitors, and the landlords. You will be the first point of contact for whoever enters the building and responsible to ensure the highest standards and a seamless journey for all.
You will be a good team-player with great customer service skills and can-do attitude, who demonstrates proactiveness in assisting the building management in some facilities related tasks.
The role requires an SIA licence.
Duties and Responsibilities:
- Take ownership of the reception area and associated spaces, ensuring they are always presented to the highest standard.
- Provide a warm, professional, and engaging welcome to all visitors, tenants, and clients.
- Act as the first point of contact for all building enquiries, responding promptly and professionally.
- Ensure the safety and security processes are followed at all times.
- Receive/answer calls promptly and efficiently, identifying the callers’ requirements and transferring calls as appropriate.
- Handle challenging situations and distressed callers calmly and professionally.
- Build strong relationships with occupiers and visitors, promoting a positive and welcoming building culture.
- Ensure all reception-related documentation remains current and compliant.
- Delivering monthly and weekly reports and appropriate FOH data as and when required.
- Work closely with the Building Manager and Property Manager, providing administrative and operational support.
- Ensure the reception area is kept organised, clean and tidy at all times.
- Report accidents, incidents, and building concerns promptly and accurately.
- Liaise effectively with cleaning, facilities, security, and other service partners to ensure smooth day-to-day operations.
- Ensure that the Reception areas are kept in impeccable order at all times, liaising with cleaners, facilities, security and other departments as deemed necessary to the efficient running of the building.
- Demonstrate flexibility and adaptability to meet evolving business and client needs.
- Support colleagues and contribute positively to the wider team environment.
- Adhering to St James policies and procedures, code of conduct and being fully conversant with the emergency procedures in relation to Health & Safety issues.
- Any other duties as deemed necessary to support the client, customer, colleagues and St James.
Key Person Specification:
- Excellent verbal and written communication skills, with a strong command of the English language.
- Outstanding interpersonal skills, with the ability to build rapport with a diverse range of people and adapt to different situations and personalities.
- Strong organisational and administrative abilities, with excellent attention to detail.
- Proficiency in Microsoft Office applications, including Word, Excel, and PowerPoint.
- Experience using Smartspaces or similar visitor management systems.
- A professional, positive, and proactive approach to work. Confident in dealing with senior stakeholders and VIP visitors.
- Excellent timekeeping, reliability, and punctuality.
- Ability to work effectively as part of a team while also demonstrating initiative and accountability.
