Principal Job Duties & Responsibilities
- Provide support to Contract Management activities on large‑scale projects; duties may include assisting multiple Contract Administrators and Contract Managers with the preparation and execution of pre‑award and post‑award activity
- Prepare, maintain, retrieve, and communicate records, reports, or documents that may be required to meet corporate and Contract Management requirements
- Prepare and maintain all electronic and hard copy files in accordance with Fluor’s Practices required to meet corporate and Contract Management requirements
- Set up project files in accordance with Fluor practices
- Assist in the preparation and assembly of Request for Proposals and Contracts
- Establish and maintain communications with client representatives and project staff through meetings, telephone and web conferences, and reports to provide for client satisfaction
- Participate in the pre‑qualification process of subcontractors; support Contracts Administrators in the pre‑qualification process of subcontractors; issue a pre‑qualification questionnaire to bidders/contractors, collect and consolidate the data
- Arrange and schedule meetings and prepare meeting minutes for project distribution
- Prepare, organize, and process monthly reports
- Perform contract document distribution and control for reviews over key contract documents
- Audit invoices for mathematical errors, rate overages, and accurate time sheet charges
- Perform Contract Close Out with the assistance of project team and Contract Administrators
- Retain required contract documents for records retention; complete documented retention requirements
- Establish correspondence log, support Contracts Administrator by assigning letter/numbers, maintaining correspondence file, and tracking all subcontractor correspondence via correspondence log
- Establish Routing log for the project, track Contracts documents routing
- Draft Contract documents Transmittal Letters
- Prepare project specific contract documents for special projects or presentations
- Maintain compliance with all applicable policies, procedures, and global standards
- Plan, organize, and carry out assignments as directed
