Job Title: Contract Support Administrator

Location:Hertfordshire

Job Overview: The Contract Support Administrator will assist with the management, administration, and coordination of contracts within the organization. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously while ensuring compliance with company policies and regulatory requirements. The Contract Support Administrator will collaborate with internal teams and external stakeholders to support the lifecycle of contracts from creation to completion.

Key Responsibilities:

  • Contract Administration:
    • Assist in the drafting, reviewing, and editing of contracts, ensuring all terms and conditions are accurately reflected.
    • To answer phone calls / emails on the helpdesk and aid customers.
    • Build a close working relationship with the Contract Managers / Field Operatives to ensure continuity of client knowledge and activities and to liaise with then over Maintenance visits.
    • Arrange client callouts as required.
    • To issue PPMS for the site engineer’s using our online software package
    • To ensure engineers have logged off PPM’s and chase for updates.
    • To deal with day-to-day emails regarding extensive range of contracts managed
    • To check & approve engineer time sheets each week.
    • To organize specialist PPM visits & ensure they are undertaken within contract SLA period.
    • Obtain specialist service sheets and ensure site files are up to date in line with BSI audits.
    • Advise Client, site engineer and Contract Manager of any remedial works resulting from PPM visit and provide quotation.
    • Maintain a central contract database, ensuring contracts are stored securely and are easily accessible.
    • Monitor contract timelines and deadlines, ensuring timely renewals, extensions, and amendments are processed.
    • Support the preparation and submission of contract-related documentation to relevant stakeholders.
    • Ensure all contracts, amendments, and supporting documents are properly filed and maintained.
    • Maintain accurate records of all correspondence related to contract negotiations and performance.
    • Assist in the preparation of reports and presentations regarding contract status, obligations, and performance.
  • Compliance and Reporting:
    • Ensure that all contracts comply with legal, regulatory, and organizational standards.
    • Assist in the preparation of audits related to contracts and agreements.
    • Track key contract performance metrics and assist in preparing periodic reports for senior management.
    Required Skills and Qualifications:
    • Proven experience in contract administration, legal support, or related administrative roles.
    • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
    • Excellent written and verbal communication skills.
    • Detail-oriented with a high level of accuracy in handling contract documents.
    • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and contract management software.
    • Ability to work independently and as part of a team in a fast-paced environment.
    Preferred Qualifications:
    • Experience with contract lifecycle management systems or the contract management software Evolution.
    Salary & Package:
    • 25 - 29K - depending on exp.
