Job summary

Vistry Group in Solihull is seeking a Construction Administrator to provide administrative support for construction projects, including document preparation, meeting coordination, supply management, and training organisation.

The role involves maintaining records, tracking safety data, and assisting with compliance and regulatory requirements. We support flexible working where possible and value in-person collaboration to drive project success.

Qualifications

  • Experience of working in an office environment.
  • Strong knowledge of Microsoft Word, Excel, PowerPoint and Outlook.
  • Excellent numeric and literacy skills.
  • Able to work with a high degree of accuracy and attention to detail.
  • Excellent organisational skills and the ability to prioritise workload.
  • Ability to communicate with colleagues at varying levels of seniority.
  • Team player who can also use own initiative when required.

Responsibilities

  • Manage incoming and outgoing communications, draft emails, letters and reports and liaise with internal teams and external contractors.
  • Log and track customer build complaints using the Keys system and draft responses by deadlines.
  • Organise and maintain the Construction Director's calendar, schedule meetings and site visits.
  • Update build programmes and progress in Coins and run reports for the Construction Management Team.
  • Provide site-based support to ensure smooth development operations.
  • Order PPE, workwear, and stationery as needed.
  • Arrange meetings, prepare agendas, take minutes and maintain action logs.
  • Collate monthly Safety, Health and Environmental (SHE) figures.
  • Assist in producing site setup and handover packs.
  • Log build communications from sites into Vistry's CRM (Keys).
  • Support the Construction Director with distribution of reports to site teams and stakeholders.
  • Maintain an accurate electronic filing and archiving system.
  • Maintain the construction department's training matrix and organise training for the team.
  • Ensure familiarity with Safety, Health and Environmental policies and NHBC, Premier Guarantee & LABC registrations.

  • Support the construction Director with the distribution of construction-related documents and reports to site teams and relevant stakeholders and members of the supply chain E.g. NHQC reports/Board Reports.
  • Maintain an accurate and efficient electronic filing and archiving system.
  • Maintain the construction department's training matrix.
  • Book and organise training for the construction team in line with legal and company requirements.
  • Be familiar with the Company's Safety, Health, and Environmental policies.
  • Support the technical team with NHBC, Premier Guarantee & LABC registrations.
