Job Summary

Salary: From £37,500

Hours: Monday to Friday, 9am - 5pm

Location: 40 Grosvenor Place, London SW1X 7AW (fully on-site)

Contract: Full-time, Permanent

What are we looking for?

The Clinical Operations Coordinator role requires strong communication, reliability, attention to detail, and a proactive approach to continuous improvement and learning. The postholder will:

  • be responsible for the accuracy and maintenance of schedules as required (including on call);
  • ensure processes are followed and optimised, including revenue capture, cost allocation, payment processing;
  • use a variety of different systems and platforms to report and forecast activity, ensuring issues, risks, and barriers are identified and escalated appropriately;
  • work closely with other Coordinators, administrative teams, Consultants and clinical teams to facilitate ad hoc activity scheduling;
  • gather information and data, draft analysis and presentations to support institute management;
  • support improvement or other initiatives as directed.

What will your duties include?
  • Organisational Alignment: Understands organisational and institute priorities and how own role contributes. Identifies barriers to achieving targets and escalates appropriately. Supports operational activities to deliver institute objectives.
  • Finance: Monitors basic financial performance and highlight variances. Collects, inputs and audits data as directed. Under oversight of IM, may raise Requisitions/POs, ensure payment and track spend. Supports budget management for team/department as directed by the IM.
  • Stakeholder & External Relations: Liaises with internal teams to support operational activities. Escalates issues requiring senior input. Supports communication with Consultants, clinical teams and other internal teams to maximise activity and smooth clinical and administrative pathways.
  • Business Development & Growth: Gathers data for business cases, growth initiatives, or service development projects. Prepares initial drafts of reports or presentations for review. Supports workforce and service capacity analysis under guidance. Ensures delivery and reporting of new consultant onboarding checklist as directed by IM. Audits, identifies and delivers continuous improvement recommendations and actions to: epic workflows, scheduling processes, billing processes, consultant administration, finance and activity data.
  • Accountability: Follows through on assigned tasks reliably and takes responsibility for personal deliverables. Reports progress and issues to line manager. Approachable and responsive, takes ownership of determining and feeding back resolutions to queries. Escalates issues clearly and promptly. Builds trusted relationship with line manager and wider Clinical Operations team.
  • Data & Analytics: Retrieves, interprets, and communicates data from a variety of sources and audit trails. Supports monthly performance reporting on quality, activity, and finance metrics. Learns to use required systems and platforms tools (including EHR, workforce systems and data visualisation platforms).
  • Communication: Communicates clearly across in-person, phone, and email channels. Supports preparation of presentations for internal meetings.
  • Professional Development: Demonstrates willingness to learn new skills and systems. Maintains high level of professionalism and high standards of documentation. Participates in cross-team initiatives.
  • Deputises for Institute Manager as requested and cross-covers other Co-ordinators as required.
  • Other duties as assigned.
What we need from you?
  • Significant experience coordinating or managing various projects (essential)
  • Track-record of working in a skilled Coordinator role, collating, compiling and presenting data and other information in both report and presentation format (essential)
  • Track record of manipulating and analysing data using Excel or similar tools (highly desirable)
  • Track record of working to Continuous Improvement methodology in current or previous roles (desirable)
  • Experience working in the Healthcare sector (NHS or Private) (desirable)
