Main duties of the job

Duties include document management in EMIS, scheduling weekly/monthly clinical rotas, oversight of practice email, processing of information, supporting the reception/admin teams, and assisting patients as required. To act as a point of contact for patient queries for the clinical team.

Job responsibilities

The following are the core responsibilities of the Senior Clinical Administrator. There may be on occasion, a requirement to carry out other tasks; this will be dependent upon factors such as workload and staffing levels:

Primary Responsibilities

  1. Coordinate clinical appointments
  2. Coordinate clinical room rota
  3. Assist with online Patient Access including patient registration and de-registrations
  4. Ensure clear pathways of document management including; prescription requests, processing all DNA letters in accordance with current policy, OOH notification/Death notifications in EMIS within practice guidelines
  5. Recruitment and induction of clinical locums as required validating and adding sessions to EMIS
  6. Process incoming and outgoing email and post
  7. Maintain a clean, tidy, effective working area at all times
  8. Support all clinical staff with general tasks as requested

Secondary Responsibilities

In addition to the primary responsibilities, the Senior Clinical administrator may be requested to:

  1. Support with the coordination of medical students, creating EMIS user access and organising timetables to ensure efficient scheduling.
  2. Support and assist with safeguarding reports i.e. section 47 or external queries.
  3. Support the wider administrative, coders, and reception team, providing cover during staff absences
  4. Answer incoming phone calls, transferring calls or dealing with the callers' requests appropriately. Signposting patients to the correct service
  5. Process referrals to external agencies such as secondary/community care using the electronic referral system (ERS)

  1. GCSE grade A to C in English and Maths
  2. 1-3 years in a healthcare setting
