Client Payments Coordinator - Artist Management

I am seeking an experienced client payment coordinator to join a global talent agency initially for 2 months.

You will join a fast-paced, dynamic team and gain direct experience with deals within the entertainment industry. The ideal candidate will be a team player, problem solver, detail-oriented, and an effective communicator, thriving in a fast-paced environment. There will also be opportunities to support the wider Touring division when needed.

Responsibilities:
Cash Management:
  1. Maintain and update the agency's cashbook, ensuring accurate recording of all transactions.
  2. Monitor cash inflows and outflows, ensuring timely logging of receipts and payments.
  3. Reconcile daily cashbook transactions with bank statements and internal records.
  4. Review and approve deposits, coordinating with agent teams and the Client Payments team.
  5. Act as the primary contact for client payment issues, including re-allocations and incorrect payments.
  6. Liaise with clients, agents, and banks on banking matters.
  7. Collaborate with other companies to ensure accurate receipt and allocation of funds.
  8. Oversee recharging of work permits and other costs to clients.
  9. Ensure accurate recording of bank charges and FX gains/losses.
  10. Verify bank account details for client payments in collaboration with the team.
  11. Suggest process improvements for operational efficiency.
  12. Communicate effectively regarding payments, tax docs, and related matters.
  13. Assist with accounting inquiries and maintain cloud records securely.
  14. Handle ad-hoc projects demonstrating flexibility and initiative.
  15. Provide coverage during colleagues' absences to ensure operational continuity.
Client Payments:
  1. Reconcile artist balances against show balances in NetSuite for accurate payouts.
  2. Prepare artist statements and coordinate with agents for approval.
  3. Communicate with Artist Managers to confirm approvals and resolve inquiries.
  4. Collaborate to settle open bookings with clients.
  5. Provide tour summaries to support accounting for artist income.
  6. Manage mailing of artist statements, confirming funds remitted or owed.
  7. Track FEU compliance, ensuring documentation for quarterly returns.
  8. Build relationships with Artists, Managers, and Accountants.
  9. Follow up on deposits and balance payments with promoters.
  10. Prepare refunds, verifying documentation and banking info.
  11. Review financial reports, providing analysis as needed.
  12. Deliver excellent customer service to stakeholders.
  13. Manage ad-hoc projects with flexibility and problem-solving skills.
Requirements:
  • 1-2 years of general accounting experience preferred.
  • Experience in entertainment or agency work is a plus.
  • Customer service experience required.
  • Highly organized with attention to detail.
  • Excellent verbal and written communication skills.
  • Proficient in Excel and Outlook.
  • Knowledge of NetSuite is preferred.
  • Quick learner with minimal supervision ability.
