Client Payments Coordinator - Artist Management

I am seeking an experienced client payment coordinator to join a global talent agency initially for 2 months.
You will join a fast-paced, dynamic team and gain direct experience with deals within the entertainment industry. The ideal candidate will be a team player, problem solver, detail-oriented, and an effective communicator, thriving in a fast-paced environment. There will also be opportunities to support the wider Touring division when needed.
Responsibilities:
Cash Management:
- Maintain and update the agency's cashbook, ensuring accurate recording of all transactions.
- Monitor cash inflows and outflows, ensuring timely logging of receipts and payments.
- Reconcile daily cashbook transactions with bank statements and internal records.
- Review and approve deposits, coordinating with agent teams and the Client Payments team.
- Act as the primary contact for client payment issues, including re-allocations and incorrect payments.
- Liaise with clients, agents, and banks on banking matters.
- Collaborate with other companies to ensure accurate receipt and allocation of funds.
- Oversee recharging of work permits and other costs to clients.
- Ensure accurate recording of bank charges and FX gains/losses.
- Verify bank account details for client payments in collaboration with the team.
- Suggest process improvements for operational efficiency.
- Communicate effectively regarding payments, tax docs, and related matters.
- Assist with accounting inquiries and maintain cloud records securely.
- Handle ad-hoc projects demonstrating flexibility and initiative.
- Provide coverage during colleagues' absences to ensure operational continuity.
Client Payments:
- Reconcile artist balances against show balances in NetSuite for accurate payouts.
- Prepare artist statements and coordinate with agents for approval.
- Communicate with Artist Managers to confirm approvals and resolve inquiries.
- Collaborate to settle open bookings with clients.
- Provide tour summaries to support accounting for artist income.
- Manage mailing of artist statements, confirming funds remitted or owed.
- Track FEU compliance, ensuring documentation for quarterly returns.
- Build relationships with Artists, Managers, and Accountants.
- Follow up on deposits and balance payments with promoters.
- Prepare refunds, verifying documentation and banking info.
- Review financial reports, providing analysis as needed.
- Deliver excellent customer service to stakeholders.
- Manage ad-hoc projects with flexibility and problem-solving skills.
Requirements:
- 1-2 years of general accounting experience preferred.
- Experience in entertainment or agency work is a plus.
- Customer service experience required.
- Highly organized with attention to detail.
- Excellent verbal and written communication skills.
- Proficient in Excel and Outlook.
- Knowledge of NetSuite is preferred.
- Quick learner with minimal supervision ability.
