Claritas Tax is looking for a Client Onboarding Executive to support the smooth and compliant onboarding of new clients across the firm. This is a key role within a growing professional services environment, helping to ensure that client account setup, AML, KYC, due diligence, annual reviews and regulatory checks are completed accurately, efficiently and in line with internal procedures.
The successful candidate will be highly organised, detail-focused and confident communicating with clients, internal teams and compliance colleagues. They will play an important part in protecting the firm, supporting client service teams and maintaining a clear audit trail throughout the onboarding process.
Key Responsibilities
- Manage the end-to-end client onboarding and account setup process, ensuring each matter progresses efficiently from initial instruction through to completion.
- Conduct AML, KYC, sanctions, PEP, adverse media and compliance checks in line with regulatory requirements and Claritas procedures.
- Verify client documentation, beneficial ownership information and due diligence evidence, escalating gaps, inconsistencies or risk concerns as appropriate.
- Coordinate with clients and internal client leads to obtain outstanding onboarding information in a professional and timely manner.
- Maintain accurate client records, compliance databases, trackers and audit trails, ensuring information is saved in the correct systems and folders.
- Liaise with partners, associate partners, client service teams, operations and compliance colleagues to support a smooth and consistent onboarding experience.
- Monitor and track onboarding progress from start to finish, following up outstanding actions and keeping relevant stakeholders informed.
- Assist with client risk assessments, annual reviews, monitoring alerts and other ongoing client review processes.
- Support compliance, regulatory and audit requirements in collaboration with the Compliance Manager, MLRO, MLCO and wider operations team.
- Contribute to process improvements, helping to identify ways to make onboarding more efficient, consistent and well controlled.
Skills, Knowledge and Experience
- Previous experience in client onboarding, compliance administration, AML/KYC, client setup or a similar role within professional services, financial services, legal, accountancy, tax or another regulated environment.
- Good understanding of client due diligence processes, including client and beneficial owner identification, verification of identity information, risk assessment and ongoing monitoring.
- Strong attention to detail, with the ability to review documentation carefully and identify missing, inconsistent or incomplete information.
- Excellent organisational skills, with the ability to manage multiple onboarding requests, deadlines and follow-ups at the same time.
- Confident written and verbal communication skills, with a professional and client-focused approach.
- Ability to work collaboratively with internal teams while also taking ownership of tasks and progressing matters independently.
- High levels of discretion and confidentiality when handling client, personal and commercially sensitive information.
- Comfortable using Microsoft Office and maintaining accurate records in systems, trackers and databases.
