Job summary

The Owl Centre is seeking an Enquiries Coordinator to be the first point of contact for clients, families and external stakeholders, delivering a professional, compassionate and responsive service across multiple channels.

This part-time role (7.5 hours) on Mondays, Thursdays and Fridays is office-based in Pontypool at first, moving to hybrid after training, and involves managing a high volume of enquiries with GDPR and safeguarding considerations, collaborating with clinical and operational

Qualifications

• Experience in customer service or client-facing environment.
• Strong communication skills and empathy.
• Knowledge of GDPR and safeguarding procedures.
• Ability to manage high volumes of enquiries and prioritise tasks.
• Proficient with Microsoft Office (Outlook, Word, Excel).

Responsibilities

• Respond to enquiries by phone, email and online forms in a professional, accurate and empathetic manner.
• Coordinate with clinical and operational teams to resolve enquiries.
• Maintain detailed, accurate case records and ensure data protection compliance.
• Support service improvements by identifying recurring themes and sharing feedback.
• Deliver a consistent, client-centred service across channels.
