Overview
We are seeking a customer-focused individual with the ability to quickly build and maintain excellent working relationships, to join our friendly Campus Services Team as a Cleaning Shift Supervisor. You will work as part of a team to provide a safe, customer focused and cost effective cleaning service for staff, students and visitors across approximately 233 university occupied buildings on main Campus and associated satellite sites. You will supervise a team of Cleaning Assistants to ensure cleaning schedules are adhered to, that documented standards are monitored, maintained and organise resources according to the needs of the business.
This is a highly customer focused role and you will need to be able to provide a high standard of professional service to a wide range of customers. The University is a fast paced and changeable environment, and as such you will need to be able to adopt a flexible approach, be self-motivated and capable of planning and organising your time effectively. Previous relevant experience in a customer service role is essential, as is the ability to use a variety of IT packages and work without close supervision on a day-to-day basis. We will provide you with a comprehensive induction and any required on-the-job training.
Main Duties And Responsibilities
- Supervise the schedule of cleaning activities, communicating work requirements to Cleaning Assistants and resolve work related issues in line with documented standards, procedures and processes. Complex problems that cannot be resolved, can be referred to the respective Deputy Facilities Manager or Facilities Manager.
- Organise Cleaning Assistants tasks and activities to ensure that these are completed on time and in accordance with the University Cleaning Standard and relevant Health & Safety Legislation i.e., COSHH. Assist in planning and organising cleaning activities for special events e.g., graduation and open days. Working to standard operating procedures.
- Monitor and review the quality of cleaning in line with the documented University Cleaning Standard and identify where further action is required.
- Monitor stock levels of cleaning supplies and equipment, ordering supplies with a set ordering procedure and predetermined budget.
- Responsible for the allocation and collection of keys, swipe cards and alarm codes during working hours.
- Manage the distribution of cleaning equipment for routine maintenance, PAT testing and allocating the specialised equipment between buildings due to the demand. Ability to access asset and maintenance information.
- Provide routine assistance and cleaning information to staff and customers in relation to the range of cleaning services available and the University cleaning standard.
- Provide guidance and support through coaching and “on the job” training to Cleaning Assistants, in the use of cleaning equipment, products, cleaning standards and methods. Ensuring mandatory training is undertaken to the deadline.
- Organise and motivate Cleaning Assistants to encourage teamwork and contribution to support the continuous improvement of the cleaning service. Arrange meetings such as, team briefs, staff reviews, return to work appointments, ensuring the team are kept informed of service changes, new products and any other departmental issues.
- Maintain a network of faculty and professional services contacts to share information and gather feedback.
- Conduct the initial return to work meetings for any Cleaning Assistants returning from absence and refer non-complex cases to occupational health consulting the relevant Deputy Facilities Manager/Facilities Manager for guidance.
- Record and monitor annual leave requests against minimum staffing levels, re-distribute resources to ensure continued service delivery and prioritise a balanced workload for staff.
- Record and monitor any authorised overtime worked and submit accurate information onto timesheets.

Essential criteria
- Good standard of IT skills with the ability to send/receive emails, save and share documents, input basic data, navigate web pages and demonstrate a willingness and ability to learn Google applications and other IT packages which are essential to the role (assessed at: application/interview).
- Ability to work effectively as part of a team and be supportive of colleagues (assessed at: application/interview).
- Ability to review work related problems, identifying corrective measures. Ideally forward thinking and taking corrective action to prevent problems arising, referring to a line manager where necessary (assessed at: application/interview).
- Excellent planning and organisational skills with the ability to organise resources, prioritise activities, your own work and that of your teams. Without close supervision and to meet tight deadlines (assessed at: application/interview).
- Demonstrate a good understanding of health and safety at work relating to cleaning activities, the ability to identify potential hazards and risks and suggest solutions (assessed at: application/interview).
- Demonstrate a positive and flexible approach to work and the ability to embrace change. Be willing to attend training courses and learning activities, demonstrating a genuine commitment to self- improvement (assessed at: application/interview).
- Effective communication skills (written and verbal) to motivate and develop a team (assessed at: application/interview).
Desirable criteria
- Knowledge of cleaning techniques (chemicals/machinery) and supervisory skills (reviewing staff performance) are desirable, but not essential (assessed at: application/interview).
- A full clean driving licence.
Further Information
Grade: 4
Salary: £24,900.00 - £26,338 (pro rata) with the potential to progress to £28,381 through sustained exceptional contribution.
Work arrangement: Part-time - 25 Hours per week
