Job summary

United Welsh is seeking a proactive Change Delivery Co-ordinator to support multiple workstreams, maintain plans and trackers, and help teams progress toward agreed objectives.

You will coordinate project boards and workshops, produce meeting notes and decisions, and maintain governance records to support assurance activity.

The role focuses on stakeholder engagement, adoption activities, and continuous improvement of templates, tools and ways of working.

Job description

Change delivery coordination


  • Coordinate change initiatives across the organisation, helping work progress effectively and in line with agreed objectives.

  • Maintain plans, schedules, trackers and supporting documentation across multiple projects or workstreams.

  • Monitor milestones, deliverables and dependencies, following up actions and escalating risks, issues or blockers appropriately.

  • Support consistent team processes, standards and ways of working.


Governance and assurance


  • Coordinate project boards, steering groups, working groups and workshops, including agendas, papers and supporting documentation.

  • Produce accurate meeting notes, decisions and actions, using Microsoft Copilot appropriately where helpful.

  • Maintain organised governance records and support project assurance activity.


Reporting and information management


  • Gather updates and track progress against plans, milestones and agreed outcomes.

  • Produce clear status reports, dashboards and updates for project, programme and senior leadership groups.

  • Maintain accessible, accurate and well-organised project documentation and records.


Change adoption and stakeholder support


  • Support change communications, stakeholder engagement, readiness and adoption activity.

  • Help colleagues stay informed and engaged, acting as a key point of contact for change-related enquiries.

  • Support clear communication between project teams, stakeholders and delivery partners.


Continuous improvement and accountability


  • Identify and recommend practical improvements to templates, tools, processes and team ways of working, contributing to lessons learned.

  • Prioritise your workload, manage competing deadlines and make sound day-to-day decisions about coordination and stakeholder support.


The role is not expected to make significant budget, strategic or programme delivery decisions.


Personal Requirements

You do not need to have worked in a PMO or held a formal project role before. We're interested in the skills and experience you can bring from other settings. If you have coordinated people, meetings, activities, deadlines or information, you may already have many of the skills needed for this role.


Essential


  • Able to coordinate several workstreams or pieces of work at the same time, organising priorities and meeting deadlines.

  • Skilled in maintaining plans, schedules, action trackers or similar records, with a proactive approach to following up actions and keeping work moving.

  • Confident in coordinating meetings or formal forums, preparing papers and producing clear notes, decisions and action records.

  • Able to gather information from different sources and produce accurate, well-organised reports, updates, dashboards or documentation.

You could come from a background in project support, PMO, administration, operations, customer service, housing, events, communications, business support or something entirely different.

  • A strong relationship-builder who can work positively with colleagues and stakeholders with different priorities and perspectives.

  • Proactive and able to work with limited supervision, use sound judgement in day-to-day decisions and escalating risks, issues or blockers appropriately.

  • Confident using Microsoft 365 tools, including Word, Excel, Outlook and Teams, and able to learn new systems and digital tools.

  • A good understanding of how effective coordination, communication and engagement contribute to successful organisational change and adoption.

  • A collaborative, respectful and transparent approach, with a commitment to inclusion and to contributing positively to the United Welsh culture.


Desirable


  • Familiarity with a change, transformation, project or programme environment.

  • Knowledge of project or programme governance, project lifecycle approaches or change delivery methods.

  • Able to support stakeholder communications, engagement, readiness or adoption activity.

  • Skilled in developing or improving templates, trackers, processes or team ways of working.

  • An understanding of digital, systems or technology-enabled change initiatives.

  • Familiarity with housing, regulated environments or organisations delivering public or community services.
