Job Description

Core Responsibilities and Tasks

Operational Management
  • Organise the office calendar with key dates and tasks, coordinating workstreams, tracking deadlines, and ensuring compliance through timely completion.
  • Provide high-level administrative support, including handling communications and preparing or submitting data to meet statutory reporting deadlines.
  • Collate information and produce confidential letters, reports, guides, templates, and minutes for various audiences.
  • Support quality assurance activities as directed by the relevant lead.
  • Oversee the organisation of meetings, CPD, and events, ensuring suitable venues, hospitality, and ICT facilities. Attendance at out-of-hours events may be required.
  • Assist in developing and improving staff and services within the Trust Central team.
  • Manage central financial administration, including invoices and reconciliations within required timeframes.
  • Collaborate with the CFO on quality assurance activities, such as accounts payable.
  • Review trust documentation, such as the contract register, to identify review and procurement needs, leading activities as necessary.
  • Maintain trust inventories according to financial regulations and participate in annual inventory checks.
  • Handle trust-wide banking transactions.
Project Management
  • Support and lead planning and execution of trust-wide projects and initiatives.
Human Resources
  • Work with HR to ensure timely completion of processes and administration throughout the employee lifecycle.
  • Review HR processes like timesheet and payroll submission for accuracy and timeliness.
Compliance and Governance
  • Prioritise tasks to meet deadlines and ensure compliance, working with relevant leaders.
  • Update policies and share them effectively with stakeholders.
  • Participate in internal audits, addressing or escalating compliance issues.
  • Administer governance activities to maintain compliance with requirements.
  • Monitor health and safety compliance, conduct checks, and address issues.
  • Review incident reports, support schools with RIDDOR reports, and review risk mitigation actions.
  • Document and manage risks on the trust risk register.
Team Management
  • Lead the central services team, ensuring high standards and compliance with deadlines.
Facilities and Estate Management
  • Assist in the strategic management and maintenance of trust estates.
  • Develop the lettings process to support the Trust's CPD offerings.
ICT and Systems Management
  • Support effective use of IT systems like Microsoft 365, SharePoint, and Teams.
  • Contribute to ICT development and cybersecurity initiatives.
  • Assist schools in implementing trust-wide systems and procedures.
Marketing and PR
  • Oversee regular trust-wide communications, including newsletters.
  • Support marketing efforts aligned with trust values and reputation.
  • Manage website, logo, and template production.

Desired Criteria
  • Relevant qualifications or experience in finance, estates, or health and safety.
  • Experience in a central services team within a multi-academy trust.

  • Qualifications such as School Business Management are desirable.

  • Experience in operations and finance management.
