Responsibilities

  • Provide day-to-day administrative support to the Reporting Team Leader and reporting scientists.
  • Support achievement of internal and external customer service levels and case target dates.
  • Liaise with Account Managers, Customer Services and Logistics for collections, deliveries and casework.
  • Maintain accurate records of outsourced cases and escalate delays or discrepancies.
  • Enter and maintain data on Casework Management Systems and issue documents daily.

Position
Purpose of Role

To provide comprehensive administrative and operational support to the Toxicology department, ensuring casework activity is managed accurately, efficiently and in line with departmental procedures, customer requirements and regulatory expectations.

Role Summary

This role provides a professional and reliable administrative service to the Toxicology department. The post holder will support the effective coordination of casework, customer communications, internal systems and operational processes. The role requires flexibility, accuracy, strong organisation and effective teamwork to support the day-to-day objectives of the department.

Requirements
Duties & Responsibilities
  • Provide day-to-day administrative support to the Reporting Team Leader and reporting scientists.
  • Support the achievement of agreed internal and external customer service levels, standards and case target dates.
  • Understand force protocols and customer preferences, liaising with Account Managers where required.
  • Liaise with Customer Services and Logistics to arrange collections, deliveries and associated casework requirements.
  • Support administrative processes relating to work outsourced to approved external laboratories, ensuring required documentation is accurate, complete and traceable.
  • Liaise with external laboratories and internal stakeholders to support timely transfer, progression and receipt of outsourced work.
  • Maintain accurate records of outsourced cases and elevate delays, discrepancies or follow-up actions in line with departmental procedures.
  • Manage competing deadlines and high workloads while maintaining accuracy and professionalism.
  • Contribute recommendations for improvements to processes, procedures, policies and company-wide streamlining initiatives.
  • Identify case completion trends and monitor target dates to support timely casework delivery.
  • Support the Reporting Team Leader and reporting team with customer feedback relating to casework delivery.
  • Enter and maintain accurate data on corporate and departmental Casework Management Systems.
  • Issue completed statements, delivery notes and customer notification forms by close of business each day, where required.
  • Update internal systems with information required for reporting, monitoring and audit purposes.
  • Coordinate expert witness requests for court attendance, including casefile retrieval, authorisation for additional statements and travel or accommodation arrangements.
  • Arrange file archiving and retrieval in accordance with departmental procedures.
  • Respond to customer queries in line with departmental procedures, maintaining accuracy within a strictly regulated environment.
  • Support other general administrative duties as required.
  • Adhere to Health and Safety policies and all relevant company procedures.
