Job description

Job title: Care Planner / Recruiter
Location: Bracknell & Slough
Salary: £25,000- £26,000 per annum (Pro – Rata)
Hours: 20 hours – Flexible Part time – onsite working plus on call duties & field work.

At Prestige Nursing & Care we pride ourselves on our ability to provide specialist homecare services for individuals of all ages living within their own homes. We are committed to ensuring each individual receives a person-centred, professional service through our local teams of professional carers and registered nurses.

Prestige Nursing & Care has provided home care for nearly 80 years, and we have local offices across England and Scotland. Our aim is to lead the care industry by providing high-quality, personalised and specialist services to our clients. We want to make life better for more people, in an exciting business that puts people front and centre of everything we do, with a supportive, agile and flexible working culture.

The Care Planner is an integral part of the branch team. They will support the Registered Manager in managing and optimising the delivery of high-quality care, compliance with internal policy and procedure and regulatory requirements and overall operational excellence. The Care Planner specifically will ensure that the utilisation of nursing and care resources is both maximised and aligned with client requirements within defined quality, compliance, and safety standards.

The Care Planner will ensure effective shift rostering including forward planning resulting in all clients having suitably allocated frontline colleagues. They will foster a person-centred approach, promoting dignity, respect, and care; supporting the Registered Branch Manager to ensure that all business targets, including business growth, are met with full compliance in line with quality and legislative standards.

The Care Planner will also lead the safe, end-to-end recruitment of frontline colleagues to build capacity and contingency, from attraction and values-based selection through pre-employment checks to induction and field competency sign-off.

Main Responsibilities:
  • Support the safe delivery of care at the registered location by ensuring that all client visits are covered on a daily basis.
  • Ensure the effective placement of frontline colleagues to meet client need, and that all colleagues rostered possess the correct level of training and competencies to deliver the care required.
  • Build and maintain rosters a minimum of four weeks in advance, forward-planning to give every client suitably allocated frontline colleagues.
  • Monitor late and missed visits, taking immediate action to maintain continuity, and upscale any roster shortfalls immediately to the Registered Branch Manager.
  • Ensure professional carers’ availability is regularly requested, obtained and updated on the rostering system, and that shift allocations and hours worked are in line with the Working Time Regulations 1998.
  • Process timesheets for payroll accurately and in line with hours worked, escalating any anomalies to the Registered Branch Manager.
  • Maintain accurate, up-to-date digital records for clients and colleagues within the electronic care system, in line with CQC standards, GDPR and data protection requirements.
  • Organise Quality Visits for the Field Care Supervisors and Field Care Managers, and liaise with Branch Nurses to support the assessment, training and competencies of complex packages.
  • Build strong relationships with clients and their families, establishing effective communication channels with clients, representatives, external healthcare providers, social services and community organisations to enhance overall care coordination.
  • Support emergency cover arrangements, undertake on-call duties on a rota basis, and respond appropriately in emergency situations – summoning appropriate assistance (e.g. GP / District Nurse / Emergency Services) while respecting client privacy and confidentiality.
  • Identify and respond to new business opportunities to support growth with the Registered Branch Manager, and support the successful conversion of new enquiries for packages of care.
Recruitment and onboarding:
  • Lead the full recruitment cycle for frontline colleagues – advertising, attraction, application screening, values-based interviewing and selection – to build capacity and contingency within the service
  • Conduct safe recruitment checks: right-to-work verification, enhanced DBS / PVG, references and full employment-history checks, ensuring all pre-employment compliance is satisfactory before any new starter begins work.
  • Maintain an active recruitment pipeline aligned to rostering demand and business growth, working with the Registered Branch Manager to anticipate and reduce staffing gaps.
  • Coordinate induction, Care Certificate progress, shadowing and competency assessments, working closely with Field Care Supervisors to ensure new starters are supported and assessed in the field.
  • Maintain accurate recruitment and onboarding records – vacancies, applicants, interview scoring, checks and induction – in line with regulatory and company standards and data protection requirements.
  • Represent Prestige Nursing & Care positively to prospective colleagues, providing a professional and responsive candidate experience throughout.
  • Compliance, safety and professional conduct (across both areas)
  • Ensure strict adherence to all policies and procedures, and that service delivery is people-centred, accessible, flexible and reliable.
  • Ensure incident management, safeguarding and complaints processes are adhered to and managed appropriately; in the absence of the Registered Branch Manager, ensure all allegations of abuse are
  • acted upon and reported to the local authority and, where required, the regulator (CQC / CI Scotland).
  • Ensure the health, safety and welfare of clients, colleagues and yourself, promoting a healthy and safe working environment and reporting concerns to the Registered Branch Manager immediately.
  • Act as an ambassador for Prestige Nursing & Care, always promoting the business in a positive manner, and support the business’s Environmental, Social and Governance strategy.
  • Carry out any other reasonable duties that may be required.
  • Build relationships with the local community and ensuring timely and efficient recruitment and onboarding.
  • Be responsible for coordination of training delivery to ensure all new care staff are fully prepared to begin work safely and competently.
Accountabilities:
  • Effective rostering that consistently meets the needs of clients, with full daily visit coverage.
  • Outcomes evidenced through improvements visible in internal audits and external inspections.
  • Successful conversion of new enquiries for packages of care.
  • A continuous, compliant recruitment pipeline that reduces staffing gaps – with right-to-work, DBS/PVG and references completed and satisfactory before every start.
  • Smooth onboarding – new starters inducted, shadowed and competency-signed within agreed timescales.
  • Community engagement and brand visibility – proactively represent the branch at local job fairs and outreach events to build candidate pipelines and raise awareness of Prestige Nursing & Care as an employer of choice.
Person Specification:

  • Excellent customer service and communication skills, with a friendly and professional manner and the ability to handle sensitive conversations.
  • Able to meet deadlines and sudden changes in an organised manner; adaptable and able to change direction quickly as priorities shift.
  • Ability to work on own initiative – a self-starter who prioritises tasks and manages time effectively – and a good team player.
  • High levels of attention to detail and the ability to handle sensitive and confidential information.
  • A commitment to, and understanding of, equality, inclusion and diversity.
  • Fully conversant in Office 365 applications.
  • Satisfactory Disclosure and Barring check (DBS / PVG).
Desirable:
  • Experience using electronic care systems (e.g. Pass, IRIS).
  • Recruitment or HR training / qualification (e.g. CIPD, safer-recruitment training).
  • Commercial awareness and a commitment to self-development.
  • Full GB driving licence and access to own vehicle
