A leading healthcare practice is seeking a dedicated member for the reception and administration team. The role involves providing essential support to both patients and healthcare professionals, ensuring efficient communication and outstanding service. Providegeneral assistance to and work as part of the entire practice team

Contribute to the amount of reception and admin cover so that it is sufficient that all daily, weekly and regular tasks are and remain up-to-date and patients needs are met
Participate actively in the development and continuous improvement of the practice and the quality of the services to patients and all members of the local health community

Duties and responsibilities
The duties andresponsibilities to be undertaken by members of the practice reception andadministration team may include any or all of the items in the followinglist. Duties may be varied from time totime under appropriate line management, dependent on current and evolvingpractice workload, staffing levels and necessary internal and external changes:
Maintaininga thorough and up-to-date knowledge of all practice procedures at all times
Maintaininga thorough up-to-date knowledge of local support services and self-referralopportunities to aid patient access to services and support
Toensure practice colleagues are aware of the above and to provide advice andsupport in accessing services where needed
Openingup/closing and locking-up of practice premises and maintaining security inaccordance with practice protocols and equipment
Processingpersonal and telephone requests for appointments, visits and telephoneconsultations and ensuring callers are suitably advised and/or directed to themost appropriate healthcare professional to meet their need as assessed throughaccurate two way communication
Processingand distribution of incoming and outgoing mail including trips to the PostOffice
Takingmessages and passing on information in an accurate and timely manner withregard to urgency, confidentiality and providing answers/replies whereverappropriate for internal and external two way communication
Organising,filing and retrieving hard copy medical records and other hard and electronicinformation as required
Scanningof patient and non-patient related information
Computerdata entry/data allocation and collation; processing and recording informationin accordance with practice procedures
Patientcall and recall for the management of long term conditions and for theprevention of disease
Workingas part of the Admin team to deliver enhanced services and all other healthquality programs as required year on year
Initiatingcontact with and responding to requests from members of the practice team,patients, the wider primary healthcare team and associated health and socialcare agencies and providers
Receivingand processing practice referrals to outside services using approved pathwaysand referral processes, including urgent and 2 Week Rule referrals, Adhering tothe information governance requirements of the NHS at all times and acceptedmethods of referral
Providingadministrative/clerical assistance as required to include, use of email, theinternet, word/data processing, filing, faxing, photocopying and scanning
Maintaininga clean, tidy and professional working environment
Keepingall areas of the practice tidy and clear of any unnecessary or out-of-dateitems in particular in the reception area, the porch and entrances to thepractice, together with noticeboards and leaflet dispensers
Anyother tasks, duties and responsibilities not covered in this job descriptionthat are practically and reasonably expected as part of the role in thepractice environment at the time
