Job summary

Blackpool Teaching Hospitals NHS Foundation Trust is seeking a CAMHS Team Secretary to provide a full administrative and secretarial service within the CAMHS team. The role includes managing appointments, handling confidential information and coordinating office cover, while liaising with clinicians and other agencies.

This Band 3 post is part-time (26.25 sessions per week) on a permanent contract, with a pro rata salary of £25,760–£27,476. Flexible working patterns are encouraged.

Qualifications

  • GCSEs or equivalent required.
  • Business Administration NVQ level 2 or equivalent experience.
  • Microsoft Office and IT qualifications.
  • Experience using NHS systems – EMIS Web.
  • Excellent interpersonal and communication skills.
  • Excellent time management and ability to prioritise workload.
  • Experience in busy reception/healthcare setting.

Responsibilities

  • Provide comprehensive secretarial, administrative and information services to CAMHS clinical/duty teams.
  • Manage appointments and correspondence; prepare routine and non-routine letters.
  • Maintain confidentiality of patient information and use CAMHS patient IT systems correctly.
  • Liaise with clinicians on queries from families and other agencies.
  • Prioritise, plan and complete day-to-day work in line with targets.
  • Assist in induction of new administrative staff.

Job overview

This post is based with the Child and Adolescent Mental Health Service (CAMHS). The post holder will work closely with the team to provide a full administrative and secretarial service. Key tasks for the post holder are the co-ordination and provision of administrative support to non-medical staff within the service including the managing of appointments systems, handling client information etc. The post holder will also participate in co-ordination of office cover within the Team.

Please note this role will not be eligible for sponsorship as it doesn't meet the minimum salary requirements for a skilled worker visa, therefore you must have appropriate right to work in the UK or your application will not be progressed to the next stage of Recruitment.

Main duties of the job

To provide a comprehensive secretarial, administrative and information service to the CAMHS Clinical and Duty Teams, in respect of managing of appointments, dealing with correspondence, composing as required routine and non-routine letters and other documentation related to the service i.e. reports, and taking personal responsibility for confidential issues.

Maintain and update clinical and non-clinical electronic systems.

Respect and maintain confidentiality of patient information, ensuring all typed patient records are correctly stored on CAMHS patient electronic information system, and telephone conversations are not overheard by the public.

To liaise with Clinicians when receiving queries from families, healthcare, social care professionals and other agencies.

Responsible for using own initiative to prioritise, plan, action and complete personal day to day work in line with local and national access and waiting targets.

Detailed job description and main responsibilities

Responsible for using own initiative to prioritise, plan, action and complete personal day to day work in line with local and national access and waiting targets.

Support the local induction of new administrative team members, including one to one training on software packages and office procedures.

Receive telephone calls from i.e. parents, GPs, Schools, Health and Social Care agencies.

Maintain a working knowledge of child protection procedures, reporting any concerns to Clinician/Manager.

Assist in ordering NHS supplies via NHS Supply chain and E-Procurement.

Under instruction from Admin Manager respond in a timely manner to Subject Access Requests received from the Data Access Team within strict time constraints

Person specification
  • Good standard of general education 3 GCSEs or equivalent
  • Business Administration NVQ level 2 or equivalent experience
  • Microsoft office / IT qualifications
  • Experience using Microsoft office excel outlook and word. Knowledge of communication via social media.
  • Experience of working in a busy reception area/ office or healthcare setting
  • Knowledge of maintaining confidentiality in the workplace
  • Experience of NHS systems – EMIS web
  • Excellent Interpersonal skills
  • Excellent communication skills both written and verbal. Including accurate typing skills
