Job summary

Jobtailor in London is seeking a proactive operations professional to own AI-driven automation and Notion governance. You’ll build scalable systems, maintain data quality, and reduce friction across teams while aligning with a fast-moving business.

You’ll work closely with the Business Operations Lead, drive improvements, document processes, and translate complex concepts into clear, actionable plans.

• Clear writing and ability to explain systems to non-technical people.
• Ability to run projects, maintain plans, and communicate status.
• Curiosity when investigating unfamiliar or broken systems.
• Notion experience is useful but not essential.
• Experience in fast-moving businesses with built processes.

Responsibilities

• Maintain Mother Root’s Notion operating system, including structure, permissions, templates, database hygiene, and a single source of truth
• Own and manage the Ways of Working Log, triaging friction and assigning actions to the right owners
• Maintain and update the SOP library, retiring stale documentation
• Keep the tech-stack database accurate and ensure appropriate tool access
• Maintain data quality across operational databases
• Identify repetitive administrative work and remove friction through improved processes, AI, or lightweight automations
• Use tools such as Claude, Make, Zapier, and n8n to build automations
• Test AI use cases and turn successful approaches into prompts, playbooks, and training sessions
• Plan and execute operational changes, including tasks, communications, training, and follow-up
• Meet every function, understand how Mother Root operates, and build systems that support growth
• Work directly with the Business Operations Lead in a newly established function

• Resourceful approach to solving problems
• Attention to detail, including spotting broken links, stale documentation, and incorrect numbers
• Clear writing and ability to explain systems to non-technical people
• Ability to run projects, maintain plans, chase stalled tasks, and communicate status proactively
• Curiosity when investigating unfamiliar or broken systems
• Useful but not essential: hands-on experience with Notion
• Useful but not essential: experience in a fast-moving business where processes had to be built rather than inherited
