Job summary

Sword Group is seeking a Business Operations Analyst to support procurement, financial administration, supplier governance and workforce management.

You will drive operational reporting, maintain controls and improve processes across Renewables DIGITAL. Strong finance admin experience with POs, invoicing and trackers is essential, along with hands-on Microsoft 365 and Power BI usage. Flexible working and comprehensive benefits are offered.

  • Understanding of procurement, purchasing and supplier governance processes.
  • Experience with financial controls, commitments and invoice administration.
  • Strong organisational and stakeholder coordination skills.
  • Experience analysing business processes and identifying opportunities for improvement.
  • Ability to map, document and simplify processes.
  • Hands-on experience with Microsoft 365, including Excel, SharePoint, Teams, Outlook and PowerBI.
  • Data analysis experience including reconciliation and reporting.
  • Experience maintaining trackers, report and management information.

Responsibilities

  • Procurement: Manage requisitions, reporting, tracking and admin duties.
  • Financial Control & Supplier Governance: Maintain financial records, support governance, auditability and invoice processing.
  • Workforce Administration & Timesheet Management: Admin support for contractors and timesheet processes; weekly missing timesheet reports.
  • Process Improvement, Standards & Governance: Analyze processes and document standards; monitor compliance and suggest actions.

We are looking for a Business Operations Analyst, to play a key role in supporting the smooth and effective running of business operations across procurement, financial administration, supplier governance and workforce management.

The role will provide operational support across procurement, financial administration, supplier governance and workforce management activities within Renewables DIGITAL, ensuring accurate reporting, strong governance, effective controls and high-quality management information. The role will also support the continuous improvement, standardisation and documentation of processes to simplify ways of working and improve stakeholder experience.

This is an excellent opportunity for a highly organised and detail-oriented professional with strong financial administration experience, particularly in purchase orders, invoicing, receipting and tracker management.

Procurement
  • Ensure purchase requisitions, procurement reporting and associated tracking activities are accurately and timely. Providing visibility to relevant stakeholders.
  • Manage purchase requisitions self-service reporting
  • Raising requisitions
  • Maintaining trackers and supporting admin duties
Financial Control and Supplier Governance
  • Maintain accurate financial records and supporting documentation to support governance, auditability and efficient invoice processing
  • Administer relevant reporting
  • Support receipting processes
  • Reconcile information between various systems used in the process
  • Manage document control for orders, invoices and supporting records
Workforce Administration & Timesheet Management
  • Provide admin support for contractors and employee timesheet processes
  • Produce weekly missing timesheet reports
  • Support users with queries and issue resolution
Process Improvement, Standards and Governance
  • Analyse existing business processes and identify opportunities for improvement
  • Contribute to the development, documentation and maintenance of standards, procedures and process guides
  • Monitor process compliance and recommend corrective actions where issue arise
