We work in partnership with a wide range of customers from sectors including automation, plant and tool hire, facility management, retail, manufacturing, construction, agriculture, the public sector and much more. We are seeking a proactive and highly organised Business Administrator to support the Finance Team in a variety of administrative tasks. The ideal candidate will have strong attention to detail, excellent communication skills, and an ability to manage different workloads effectively.

This will be a varied role, suited to someone who is able to develop good working relationships with key business stakeholders via phone and email and able to pro-actively plan, organise and prioritise work.

Main tasks and responsibilities

• Customer portal management:
- Monitor and manage customer portals to ensure accurate and timely updates.
- Upload relevant documents and data to portals as required by customers or internal teams.
- Resolve any issues or discrepancies within customer portals, collaborating with other teams where necessary.
• System dispatching of job tickets for invoicing:
- Ensure job tickets are processed in the system accurately and dispatched to the relevant departments for invoicing
- Track and maintain the status of job tickets and ensure they are promptly invoiced according to established timelines.
- Communicate with relevant departments to resolve any discrepancies related to invoicing.
• Supplier Management:
- Support the management of suppliers in accordance with company policies, including compliance with modern slavery and ethical sourcing policies.
- Maintain accurate supplier records to ensure timely payments and communications.
- Assist in supplier audits and ensure that necessary documentation is obtained and reviewed.
• Keep procedure notes up to date so that all processes are fully documented
• Stay informed about changes to financial regulations and policies that may impact the role.
• Supporting with key activity and projects within the Finance department.

Essential skills and experience
• A high level of numeracy skills, minimum 5 GCSEs to include Maths & English to Level 4 or above
• Strong IT and MS Excel skills (including pivot tables, look ups etc.)
• A ‘right first time’ and ‘can do’ attitude
• High levels of personal organisation and time management
• Commitment to accuracy and driving efficient processes
• A proven ability to build strong professional relationships
• Ability to work independently as well as part of a team, flexible with shifting workloads
• High level of discretion and integrity when handling confidential information
• Excellent communication skills across a variety of formats

Desirable attributes
• Previous experience working with customer portals and invoicing systems.
• Familiarity with supplier management processes.

Hours of work

8.30am - 5.00pm

Monday to Friday

40 hours per week

No weekends
