Job summary

Savills is seeking a Property Supervisor to oversee day-to-day operations, maintenance and staff coordination across its portfolio in Leeds. The role focuses on delivering high standards of presentation, customer service and compliance with all safety requirements.

You will manage contracts and systems, coordinate audits, and ensure timely execution of checks. The position requires relevant experience in multi-let commercial property and strong leadership capabilities.

Qualifications

  • GCSE English and Maths at grade C or above (or equivalent).
  • Self-motivated with ability to work on own initiative.
  • Strong organisational and time management skills; able to prioritise and multitask.

Responsibilities

  • Supervise day-to-day running and maintenance of the property/properties.
  • Oversee onsite staff and contractors to meet required standards.
  • Maintain up-to-date property management and compliance systems (Datastation/Compass).
  • Ensure timely completion of daily/weekly/monthly/quarterly checks and audits.
  • Monitor contractor work to high standards and manage records (alarms, fire, water, hygiene, repairs, heating, lighting).
  • Foster relationships with Regional Facilities Manager, surveyor support, marketing and lettings.
  • Attend tenant meetings and ensure tenant satisfaction and value from services.
  • Evaluate contractual relationships and seek best value; propose improvements to systems.

Job description

Purpose of the Role

The main purpose of the role is supervising all aspects of the Day to day running and maintenance of the property or properties under your control and ensuring the immediate supervision of staff (if appropriate) and contractors and ensuring the required standards are achieved and maintained at all times.

Key Responsibilities
  • Ensure that high standards of property presentation and customer service are achieved and maintained at all times
  • Ensure that all Savills property management and compliance systems are kept up to date at all times
  • Ensure all Daily, Weekly, Monthly and Quarterly checklists are completed within the required timeframes and uploaded onto Datastation and Compass.
  • Ensure all actions resulting from audits are updated and completed within the required time frames
  • Ensure that PPM’s and routine checks completed by contractors are completed within the required time frame, ensure that records are maintained for; intruder alarms, fire, water, hygiene, repair order, heating system, lighting
  • Ensure contractors carry out their work to a high standard and maintain site standards. Issue induction for contractors and relevant Permit to Work forms
  • Ensure that high standards of property presentation are achieved and maintained at all times.
  • Establish good relationships with the Regional Facilities manager and surveyor support marketing and lettings
  • Attend tenant meetings and build professional relationships with tenants
  • Evaluate existing contractual relationships, and ensure that the tenants are receiving best value.
  • Ensure best value is being achieved by analysing, auditing and proposing improvements to the existing property management systems in operation.
  • Create and maintain an effective working relationship with existing suppliers.
  • Ensure and implement best practice whilst ensuring safe working practices are complied with at all times.
  • Ensure appropriate clear communication lines are established and maintained.
  • Carry out any other reasonable request of the Property Surveyor.
Safety & Security
  • Ensure compliance with all client and Savills procedures and policies, including health and safety, COSHHand environmental matters.
  • Ensure compliance with all statutory requirements and codes of practice, health and safety requirements.
Promotions/Public Relations
  • Establishing and developing good relations and partnerships with various authorities and local agencies, notable:
    • Local authority
    • Police
    • Fire Brigade
    • Public transport Providers
  • Ensure that all promotional activities are carried out with due care and attention to the health and safety and welfare of staff and customers.
  • Establish and develop close working relationships with tenant representatives and manage tenant satisfaction and confidence in Savills service delivery.
Staff
  • Conduct performance reviews in line with Savills policy procedures identifying personal and skill based training requirements on an individual basis. Ensure that a training plan is identified and managed.
Quality Assurance
  • Adhere to all quality assurance requirements.
  • Ensure compliance at all times with operational standards.
Skills, Knowledge and Experience

Candidates will be required to demonstrate the following:

Essential
  • General Education to GCSE standard with an A-C grade in English & Maths or equivalent standard
  • Self-motivated, able to work on own initiative.
  • Good organisational and time management skills with the ability to prioritise workload and multitask in a calm and professional manner.
  • Excellent managerial and inter-personal skills, a proven track record in managing change, experience of managing budgets,
  • Prior experience of the management of multi let commercial property.
  • Experience in the supervision of contractors.
  • Good understanding of property management.
  • Effective people management skills – recruitment and development. A good team builder.
  • Excellent communications skills.
  • A comprehensive knowledge and understanding of legislative health & safety requirements.
  • Good time management skills able to respond to client/contract deadlines.
  • IOSH Managing Safely
  • SIA Licence
Desirable
  • Ability to use full range of Microsoft applications inc. Word, Excel, PowerPoint, Outlook.
  • Experience of direct liaison with Police, Fire and Government Enforcement office.

Working Hours - 40hrs

Salary - £33,000
