Job summary

Pernod Ricard UK Kilmalid is seeking a Bottling Administrator (FTC until March 2027) to join the Manufacturing team. The role delivers essential administrative duties, supports KPIs, and resources the department to meet daily, weekly and monthly demand in line with the Factory Manager and Production Planner.

You will handle health & safety, compliance, purchasing, cost control, systems training and labour planning, collaborating with HR, Finance and external suppliers to maintain world-class

Qualifications

  • Experience in a manufacturing environment, preferably bottling or similar operations.
  • Strong IT skills and ability to act as a key user for business systems.
  • Ability to manage data and reporting to support KPI tracking and decision-making.

Responsibilities

  • Health & Safety – point of contact for PPE vending and annual PPE allocation; manage QSHE records.
  • Compliance & Procedures – maintain bottling procedures and operator development; ensure policy compliance when ordering goods or services.
  • Purchasing and Cost Management – create and manage factory expense purchase orders with routine budgeting reports; onboard new suppliers.
  • Cost Management – collaborate with finance to structure and maintain factory cost pool budgeting and reporting.
  • Systems & Reporting – champion business systems; train users; provide timely information and labour/production reports.
  • People Administration – lead user for people systems; record headcount, holidays, absences; provide weekly/monthly labour requirements.
  • Labour Resourcing – assess daily/weekly labour needs to meet production plan; arrange temporary labour; use labour planning systems.

Your new team

This position sits in our Chivas Brothers business. At Chivas Brothers, our 1,600-strong team across 27 sites is committed to upholding the heritage of Scotch and ensuring its sustainable future, as well as opening it up to new audiences across the globe.

The scope of Operations stretches from Procurement through conversion (distillation and maturation) and manufacturing (or bottling) to all the downstream Supply Chain activities until the final product is delivered. In addition, Operations play a very active role in Innovation, Talent Development and Operational Risk Management.

Your unique contribution

The Bottling Administrator supports the Manufacturing team by delivery of key administrative duties and use of business systems to provide accurate and timely information to support Key Performance Indicators (KPIs), decision making and reporting. Additionally, the Bottling Administrator will proactively resource the department to demand requirement on a daily, weekly, monthly basis in line with Factory Manager, Bottling Team Leaders, and Production Planner.

You will have seven main areas of responsibility:

  • Health & Safety – to be key point of contact for support of Personal Protective Equipment (PPE) vending and the annual allocation of PPE workwear in Bottling and to be responsible for QSHE records on our systems
  • Compliance & Procedures – to be responsible for the upkeep of all Bottling procedures and operator development on our systems and ensure full compliance with company policies and procedures when ordering or purchasing any goods or services.
  • Purchasing and Cost Management – Creation and management of purchase orders related to factory expenses with routine reporting vs budgets. Onboarding of new suppliers when required.
  • Cost Management – Working collaboratively with finance to structure and maintain Factory level cost pool budgeting and reporting.
  • Systems & Reporting – to champion business systems and support team members with training when required. You will also support teams with accurate and timely information or reports as required. Provision of labour hours used and productivity reports against budgeted labour targets.
  • People Administration – to be the lead user for our people systems to ensure timely and accurate recording of all team member headcount, holiday, absence and provide the team and third-party providers with weekly and monthly temporary labour requirements.
  • Labour Resourcing – to review requirements of labour to meet daily and weekly production plan against full time employees (absence/holidays/training) and ensure temporary labour arranged to meet the plan. Use of labour planning systems/ trackers and engagement with BTLs and daily labour boards.

Internally, you will collaborate with the wider Manufacturing team, including Quality and Health & Safety as well as other functions such as HR and Finance.

Externally, you will collaborate with suppliers and vendors to ensure delivery of services to the highest standard.
