Role Description

This is a full-time on-site role for a Bids and Projects Coordinator involving a presence at both the Loughborough and Leicester depots. A key role that bridges business development and project execution, playing a a central part in driving successful bidding activity and supporting the seamless delivery of projects across the business.

Key responsibilities include:

  • Facilitate the opportunities pipeline register, maintaining up-to-date tracking of new and ongoing bid opportunities across the business
  • Coordinate the end-to-end bids process, working cross-functionally with Engineering, Procurement, Operations, and Projects to develop compelling and compliant proposals.
  • Act as the central point of contact for gathering inputs from multiple departments, ensuring timely bid deliveries in line with set deadlines.
  • Organise and conduct handover/kick-off meetings for all successful bids, ensuring seamless knowledge transfer from the bid team to the project delivery team.
  • Ownership of key bid files and folders. Ensuring all documents related to enquiries are systematically indexed, up-to-date, and easily accessible for internal stakeholders.
  • Assist in compiling and updating project reports, trackers, and delivery plans.
  • Work closely with the Project team to capture and monitor key project vitals, including hours consumed against job, material usage, risk and opportunities, and emerging lessons learned.

Qualifications

  • Proficiency in bid coordination and planning
  • Experience in stakeholder communication and cross-functional team collaboration
  • Attention to detail, organisational skills, and time management
  • Previous experience in the rail industry or a similar field is advantageous
  • Proficiency in Microsoft Office Suite and other CRM platforms
  • Excellent written and verbal communication skills
  • Familiarity with project management practises and bid lifecycles
