Job summary

Reliance High-Tech is seeking a Bid Coordinator to own the end-to-end bid process, manage submissions, and govern the Loopio platform. You will coordinate inputs from Sales, Marketing, Legal, Finance, and others to ensure accurate, compliant responses and strong win themes.

You will maintain the bid library, drive continuous improvement, and ensure governance is followed. A UK-based candidate with strong organizational and communication skills is preferred.

Responsibilities

  • Own and manage the end-to-end bid process, ensuring on-time, compliant submissions.
  • Act as system owner for the bid management platform (Loopio) and maintain content accuracy.
  • Plan, schedule, and coordinate all bid activities with stakeholders.
  • Liaise with multiple internal departments to secure timely inputs and ensure complete submissions.
  • Maintain and improve the central bid content library with lessons learned.
  • Provide QA across submissions, ensuring alignment with criteria and brand standards.
  • Coordinate non-technical content and gather technical inputs for a compelling narrative.
  • Monitor progress daily and address risks to keep bids on track.
  • Lead post-bid reviews and capture lessons learned for continuous improvement.
  • Promote best practice in bid management and clear communication of processes.

Role Overview

Reliance is recruiting a Bid Coordinator to strengthen the ability to deliver high‑quality, competitive, and compliant submissions. The role owns and coordinates the entire bid process, manages the bid platform (Loopio), maintains the bid library, and ensures deadlines and governance are met.

Your Responsibilities
  • Own and manage the end‑to‑end bid process, ensuring submissions are delivered on time, fully compliant, and aligned with client requirements and internal governance.
  • Act as system owner for the bid management platform (Loopio), ensuring content accuracy, version control, and continuous updates with lessons learned and best practice.
  • Plan, schedule, and coordinate all bid activities, including kick‑off meetings, progress reviews, approvals, and final submission.
  • Liaise with internal stakeholders (Sales, Marketing, Design, Senior Management, Finance, Legal, Project Management, Service, Health & Safety) to secure timely inputs and ensure submissions are accurate and complete.
  • Maintain and improve the central bid content library, embedding feedback and updating case studies, success stories, and company information.
  • Provide quality assurance across all submissions, checking alignment with evaluation criteria, governance processes, and brand standards.
  • Support the creation of non‑technical content and coordinate technical inputs, ensuring a consistent and compelling narrative.
  • Monitor progress daily, identify risks or bottlenecks early, and drive resolution to keep bids on track.
  • Coordinate structured post‑bid reviews and wash‑ups, capturing lessons learned and consolidating data for continuous improvement.
  • Promote best practice in bid management, ensuring clear communication of process, responsibilities, and expectations across the team.
  • Reduce costs to bid and improve efficiency by optimising workflows, reusing high‑quality content, and streamlining processes.
Key Experience
  • Proven experience in bid management, proposal support, or a similar structured process role.
  • Demonstrable understanding of the end‑to‑end bid process, with the ability to manage multiple concurrent submissions.
  • Experience managing and maintaining bid libraries/content management systems (e.g. Loopio or equivalent), including version control and continuous improvement.
  • Strong organisational and time‑management skills, able to plan, prioritise and deliver to tight deadlines.
  • Ability to coordinate multiple stakeholders across departments, including senior leaders.
  • High proficiency in Microsoft 365 (Word, Excel, PowerPoint) and collaboration tools (SharePoint, Teams).
  • Understanding of compliance and governance requirements within a bid process (mandatory requirements, evaluation criteria, internal approvals).
  • Excellent written and verbal communication skills with exceptional attention to detail.
  • Ability to ensure accuracy, consistency and quality across all submissions.
  • Continuous improvement mindset – capturing lessons learned and strengthening templates and reusable content over time.
Essential Qualifications

  • Project management qualification (e.g. PRINCE2 Foundation, APM PMQ, or similar).
  • Training in quality/compliance systems (e.g. ISO awareness, document control).
