Job summary

Spire Manchester Hospital is seeking a highly organised Bank Administrator to support its Capacity and Utilisation team. You will manage NHS patient pathways, outpatient bookings and patient correspondence, ensuring accuracy and confidentiality.

The role is bank/zero-hours with shifts across weekdays 9:00–17:00. Salary is £12.76 per hour, with benefits and support for professional development.

Bank Administrator | Capacity and Utilisation | Spire Manchester Hospital | Bank/Zero-hours Contract | £12.76 per hour

Spire Manchester Hospital has an exciting opportunity for an organised, proactive and customer-focused Bank Administrator to join our Capacity and Utilisation team.

This varied role will support both NHS patient pathways and outpatient bookings, helping to ensure that patients receive an efficient, professional and welcoming service from referral through to appointment or admission.

You will work closely with patients, consultants, medical secretaries, the Patient Support Centre and hospital departments. You will manage bookings, referrals, waiting lists and patient correspondence while ensuring that information is processed accurately, confidentially and within the required timescales.

Working hours

This position is offered on a bank, zero-hours contract, with shifts available:

Monday to Friday, between 9:00 am and 5:00 pm

The successful candidate will need to have a flexible approach to working hours, as shifts will be offered in line with departmental requirements.

Hourly rate: £12.76

Duties and responsibilities
  • Provide comprehensive administrative support for NHS patient pathways and outpatient services.
  • Manage patient appointments and admissions using the hospital’s computerised booking systems.
  • Maintain efficient diaries for consultant-led and nurse-led outpatient clinics.
  • Arrange and amend appointments, clinic schedules and cancellations as required.
  • Process patient referrals, appointment letters, clinic outcome forms and associated documentation accurately and promptly.
  • Monitor NHS waiting lists and patient pathways, supporting the delivery of contractual and referral-to-treatment timescales.
  • Identify and elevate potential pathway breaches, capacity issues or delays to the appropriate manager.
  • Manage and monitor shared mailboxes, ensuring emails are reviewed, prioritised and actioned within the required timescales.
  • Respond professionally to enquiries from patients, consultants, NHS trusts, the Patient Support Centre and internal hospital departments.
  • Liaise with patients, consultants, medical secretaries and clinical teams regarding individual requests or special requirements.
  • Maintain accurate electronic and manual records, spreadsheets and filing systems.
  • Process imaging requests, including X-ray and MRI requests, where required.
  • Ensure that all patient information is handled confidentially and in accordance with GDPR, information governance requirements and Spire policies.
  • Build effective working relationships across the hospital to support the smooth delivery of patient services.
  • Undertake additional administrative duties that reasonably fall within the scope of the role.
Who we are looking for
  • Previous experience in an administrative, office-based or customer service role.
  • A good standard of education, with strong literacy and numeracy skills.
  • Excellent verbal and written communication skills.
  • A professional and confident telephone manner.
  • Strong organisational, time-management and prioritisation skills.
  • The ability to manage multiple tasks while maintaining accuracy and attention to detail.
  • Confidence using Microsoft Office, including Word and Excel, along with the ability to learn new systems quickly.
  • Experience using databases, spreadsheets or computerised booking systems.
  • The ability to work calmly and professionally in a busy, fast-paced environment.
  • A proactive approach to problem-solving, with the confidence to elevate concerns appropriately.
  • The ability to work independently and contribute effectively as part of a wider team.
  • A strong commitment to confidentiality and delivering excellent customer service.

Previous healthcare administration experience, knowledge of medical terminology, NHS patient pathways or referral-to-treatment processes, and experience using SAP or a similar patient booking system would be advantageous but are not essential.
