Job summary

Job description

Department/Team: Production

Responsible to: Associate General Manager

Contract: Permanent

Location: Mix of home working and from The Old Vic, 103 The Cut, London, SE1 8NB (min 3 office days)

Hours: Full-Time – 40 hours per week, Monday-Friday, with additional hours as necessary. The Old Vic offers flexible working under our Hybrid Working policy.

Salary: £37,300 to £39,300 per annum, depending on experience

Role Summary

To support the Producer and General Manager on all productions, managing assigned shows daily for The Old Vic Theatre Company. This role offers a chance to be part of a dedicated team delivering diverse productions in a renowned theatre. We seek a candidate with excellent organisational skills, a passion for theatre, and a personable, adaptable nature.

Areas of responsibility

The Associate General Manager will be responsible for:

Production & Personnel
  • Act as Project Manager for each production, serving as the main contact for internal and external stakeholders, including co-producers and contractors.
  • Collaborate with Production Assistant(s), keeping the Producer and General Manager informed of progress and issues.
  • Maintain accurate schedules and liaise with Marketing and Box Office.
  • Communicate regularly with Technical teams regarding production needs.
  • Support show Company Stage Managers with pastoral care for cast and crews.
  • Negotiate and draft agreements for creative and technical staff under supervision.
  • Coordinate auditions and rehearsals, booking spaces as needed.
  • Work with Casting Directors to make offers and negotiate contracts within budget and union agreements.
  • Manage contracting of children and licenses, supervise chaperones, and handle payments.
  • Keep cast and crew deal summaries current.
  • Organise personnel for auditions, rehearsals, and technical periods.
  • Ensure policies are followed and communicated to production teams and cast.
  • Oversee access requirements for inclusive performances in collaboration with relevant teams.
  • Handle PRS applications and music clearance as needed.
  • Lead production meetings in the absence of senior management.
  • Assist with insurance liaising and claims.
  • Manage tax, VAT payments, and visa applications for freelance staff.
  • Coordinate Olivier Awards proposals and panellist bookings.
  • Stay updated on union agreements, pensions policies, and regulations, informing relevant teams of changes.
Budgets and accounts
  • Assist in budget preparation and manage expenditure within set budgets.
  • Update and reconcile budgets during production runs, including final accounts and royalty statements.
  • Oversee purchase orders and invoice processing, ensuring timely payments.
  • Coordinate royalty payments and statements with Finance.
Press and Marketing
  • Support press night planning and execution with the Production Assistant(s).
  • Collaborate with Marketing Managers on billing, approvals, and proofing materials.
  • Coordinate content requests and access for marketing and press.
  • Attend weekly marketing meetings.
General
  • Participate in team and production meetings.
  • Attend rehearsals, technical periods, previews, and performances, including evenings and weekends.
  • Maintain templates for budgets and contracts.
  • Represent the department at events and performances.
  • Undertake special projects as assigned.
  • Comply with all relevant policies and manage logistical aspects of workshops.

Person Specification

Essential

  • At least 2 years’ experience in theatre producing or general management.
  • Strong interest and understanding of the theatre industry.
  • Confident, positive, and approachable, with knowledge of etiquette in high-profile interactions.
  • Discreet handling of confidential information.
  • Detail-oriented with excellent organisational skills.
  • Experience negotiating staff and artist contracts.
  • Practical knowledge of SOLT union agreements, including Equity, BECTU, and MU.
  • Experience with production budgets and payroll.
