Job Overview:

Basha-Franklin is seeking a highly organised and proactive Architecture Operations & Project Support Coordinator with experience in the architecture and interior design sector. This key role supports the core operations of our studio, spanning financial administration, resourcing, team coordination, and systems support. The ideal candidate is confident using Excel and resource/project management platforms, with a keen eye for detail and the ability to thrive in a structured, fast-paced environment.

Type: Part-time, with flexible working arrangements (hybrid - office and remote)

Salary: To be confirmed

WHAT WE'RE LOOKING FOR

Key Attributes:

  • Solutions-driven, with a mindset for improving systems and processes

KEY RESPONSIBILITIES

Bid Management

  • Support Directors and design teams with fee proposals and bid submissions
  • Review scopes of work, programmes, and fee structures
  • Maintain and update the studio’s fee tracker
  • Manage invoicing, variations, charge-out rates, and staff costs using project management tools
  • Provide monthly cost/goal reporting and dashboard updates
  • Liaise with finance and project teams to monitor financial performance

Resource & Team Coordination

  • Oversee weekly resourcing and workload distribution
  • Assist project leads in forecasting team capacity
  • Maintain accurate timesheet and holiday records
  • Track staff availability and manage various leave types

Systems & Onboarding

  • Coordinate onboarding for new team members (systems access, holidays, rates, etc.)
  • Provide system support and troubleshoot basic tech issues
  • Support onboarding and implementation of new platforms/software

Training & Team Engagement

  • Organise internal training sessions.
  • Support engagement initiatives such as culture workshops and mentoring programmes

Skills and Experiences:

  • Experience in operations, administration, or project coordination within the architecture/design industry
  • Strong proficiency in Excel and confident using business/project management systems
  • Proactive, detail-focused, and able to work independently
  • Experience supporting HR or onboarding processes is a plus
