Our client has a full-time, permanent vacancy for an Administrator/Receptionist to join their friendly team.

Responsibilities:
  1. Welcoming clients, visitors and staff attending the office
  2. Following visitor sign in procedures when visitors arrive for meetings
  3. Monitoring of the suite of meeting rooms to ensure they are kept tidy and in good working order for all meetings
  4. Provision of appropriate refreshments within the meeting rooms as and when requested
  5. Supporting the setup of meeting rooms and catering for client and/or staff events
  6. Assist with meeting room bookings
  7. Answering and directing incoming calls across offices
  8. Directing of enquiries to the relevant departments
  9. Ensure attendance registers are printed and updated accordingly
  10. Responsibility for incoming and outgoing post and arranging distribution of post internally.
  11. Dealing with incoming deliveries
  12. Management of the Franking machine and liaison with Royal Mail
  13. Managing the ordering of stationery
  14. Support in the ordering of supplies
  15. Binding of relevant documents
  16. Support with laminating activities
  17. Support with file retrievals from off-site storage
  18. Scanning, preparing and photocopying documents
  19. Ensure reception area is neat and tidy at all times
  20. General administrative duties
Requirements:
  1. Previous experience in a similar role would be ideal but experience in a customer facing role would be beneficial
  2. Enjoy a high level of interaction with clients, staff and visitors displaying a welcoming and professional approach at all times
  3. Friendly and professional manner
  4. Excellent verbal and written communication skills
  5. Excellent telephone manner
  6. Confidentiality, discretion and diplomacy with the ability to deal tactfully and diplomatically with a wide range of people
  7. Excellent time management skills demonstrating the ability to organise and manage changing priorities on an ongoing basis
  8. Ability to demonstrate a courteous, helpful and service-orientated manner both in person and on the phone
  9. Ability to work both autonomously and within a team with a positive ‘can-do’ attitude and strong interpersonal skills
  10. Efficiency, reliability and flexibility
  11. Ability to use initiative when required
  12. Proven IT skills, including MS Word, Outlook and Excel
  13. A valid driving licence would be advantageous
